To increase our effectiveness with QuickBooks, QuickBooks is teamed with other companies to incorporate their tools right within your accounting system, examples of these are found under the File Menu. You'll notice if I go to Shipping that I have an interactive service with both Fed Ex and UPS. You'll notice when I go down to FedEx that not only does it allow me to find, drop off locations and schedule a pick up, but I can actually print my ground receipts and my end of the day manifests right here from QuickBooks. When I establish my service I simple go into Settings to start it off. The same tools also apply to UPS. Once again I can go in and find a drop off location, schedule pick ups or track shipments. Both of these services will require that you sign up with the individual vendors. Now QuickBooks also has a host of their own third party tools available. For instance this time I'm going to go to the Help Menu, when I go down to Add QuickBooks Services you'll see that it takes me to the Solution Center. Here all of the tools are arranged by classification. If you need to enhance your payroll service, if you're looking for time tracking or if you want to go into a Customer Management System you will see that all the Add-On Tools are available. In each particular instance you can find out more information, you can learn more and you can purchase the Add-On's. In many instances you will find that there are actual samples or trial versions that you can use. One of the most popular features that I find with QuickBooks is tying into the QuickBook system for Credit Cards. QuickBooks will take care of the entire set up for you, it is of course possible to use your own current vendor, it will take just a little bit longer when setting up those transactions. Outside of working with our shipments and the third party solutions for QuickBooks you will also find that QuickBooks is teamed with the Google Desktop to give you very powerful search capabilities. In this instance, if we go to Edit and down to Search, when Google is installed it'll immediately take us to the QuickBooks Search which is powered by Google Desktop. You will notice that it allows me to Search QuickBooks or I can actually Search QuickBooks and my Desktop. The idea in the QuickBooks and Desktops is that if I'm looking for an estimate or some backup documentation that goes along with the current invoice I can search my computer right from within QuickBooks, there's no need to minimize or close-out and go to Windows Explorer to find my file. This really makes this quite productive because very frequently we're looking for backup material when we're going to actually bill out our clients. Now before you use the QuickBook Search, QuickBooks will want to index your machine, this is a process where QuickBooks will itemize your files and put them in a nice sort that its faster to find them when you're actually working with the search engine. You might want to keep in mind however that this could be a time consuming component. Make sure that when you first start your indexing that you have enough time to let it go through the process. Once it's done the first time you'll never have to repeat the step. You'll also notice that there is a place where you can automatically find your QuickBooks Data. The search is set up if you have multiple files or old files or if you're just collecting a number of back ups, the search engine will bring them all to the forefront for you very, very quickly. All of the tools that are available enhance your QuickBooks experience, whether it be the third party solutions from QuickBooks services or the shipping services from vendors such as FedEx or UPS, the services are worth approaching and worth doing your research on.
