Setting Up QuickBooks / Bypassing the Interview

In our last tutorial, we went through the QuickBooks Easy Step Interview. If you recall, to get here we went to the file menu and down to new company. In this tutorial, we would like to talk about what to do if we choose to skip this interview. Now, one thing I'd like to point out, even when you skip the interview, you will still go through a portion of the screens. Let's get started and I'll show you what I mean. When I go into skipping the interview, it first takes me to my company information screen. I'm going to use our sample company again and just type in sample. Now here, even though you're skipping the interview, you'll still want to put in your legal name if you're using a DBA, your Federal Employer Number, address, city, state, so forth and so on. On our next screen, we're going to choose our organizational structure. Now again, as we pointed out in the first tutorial, this is an important consideration for taxes at the end of the year. If I fill this out, I can streamline the process. If I do not want to fill this out, however, simply select other or none. On our next screen, it will again ask the first month of my fiscal year. Typically it's the same as your tax year. It'll vary for each one of us. On our following screen, I'm given a list of industry accounts. Now, in this screen, I would encourage you to select a company information package. You can go to the bottom of the screen and select other or none, but you will be given no accounts whatsoever. By selecting one of the present packages, you'll find that you save a lot of time on typing. So even though they may not be exact, as you go through the list, you'll find that many of these will correlate for your industry. Choose one that's close and allow QuickBooks to use this as a template. When we select next, it will now be ready to actually create our company file. I'll go ahead and hit finish. It'll ask me where I want to save it. This is my sample file, so I'm simply going to allow it to save to the desktop. Now, you'll notice in the background that QuickBooks is going ahead and creating the company file itself. This does take a few moments, so be patient. You'll notice that when it's finished, the screens disappear, I'm back into QuickBooks and back to my home page. At this point in time, I'm now ready for the fine turning. The first thing that I need to remember, if I need to change any company information, I can simply go to my menu item for company and down to company information. Here you will note is the same information we used in the interview. I can change address information, fiscal year, tax forms and even payroll tax information. When I close out of the screen, I'm back to my home page. In our chart of accounts, this time I'll use my home page. Click directly on chart of accounts. Each of the accounts that were in the sample company now appear. Here is where I can very easily edit any of these accounts out or I can add a new account. At this point, I'm ready to pick up with the normal day to day activities. We will be addressing adding our new accounts, changing our chart of accounts and all of the other information in upcoming videos. Please refer to our index to find the appropriate one for you.
