Getting Started / Getting Around in QuickBooks

Let's start our journey into QuickBooks by talking about moving around the screen. First I'd actually like to talk about moving around QuickBooks outside of the program itself. Let's go back to our desktop. I'd like to recommend that you place a shortcut for QuickBooks right on your desktop. You'll notice here in the left-hand side of my screen that I have a handy shortcut straight to my program. Another area that's very useful is the start menu. Once again, I click on the icon for start. This time you'll notice my QuickBooks icon is right on my menu system. There's yet a third method that I would like you to be aware of. On the bottom of my screen where I have the start menu, you will see a series of icons. This is what we call our quick launch bar. It works by simply selecting one of the icons. In this case, I'll click on my QuickBooks icon and you will notice that QuickBooks is loading behind me. The beauty of this is that if I need to switch to another program, I could do so very quickly. Let's say for instance I'd like to go to Microsoft Word. I'm simply going to move over to my Word icon, click on Word and you will see that it appears right in front of me on my screen. The beauty of this now is when I want to return to QuickBooks, I simply X out of word and there I am right back inside of QuickBooks. It's very easy to customize this quick launch bar. Allow me to minimize QuickBooks for one moment and take you on a tour. First, I'm going to go down to the task bar and insure that it is ready for editing. To do so, I will do a right click on my task bar and in my case, you'll notice that there is a checkmark next to lock the taskbar. I'm going to remove this checkmark. When I do, you'll notice that I have vertical lines up and down on both sides of my icons. This insures that I am ready to edit my taskbar. At this point in time, all I need to do is drag and drop icons directly into the quick launch bar. For instance, if I'd like to add my documents down below, I will grab my icon, drag it straight down to my quick launch bar and you'll see that there is a black I beam in the background. That tells me exactly where I will place the icon. When I release the mouse, create a shortcut and I'm all set. I now have my folder for my documents right in my quick launch. It's equally as easy to remove something from the quick launch bar. Let's say for instance I do not want my computer there anymore. I will simply right click, go to my delete. When I click on delete, it'll ask me to reconfirm, I'll say yes and my computer is gone from my quick launch. This is a powerful tool that will add increased efficiency and speed to your computer experience. I'd like to recommend that you try that, not just for QuickBooks, but for all the programs that you use. As a safety, I'd actually like to return to my taskbar with that right click and simply lock it one more time. This just insures that I don't accidentally move icons or delete icons without realizing it. Now, back in QuickBooks, you will find that there are a number of ways that we can move within the screens themselves. We'll be discussing two of the most common in our upcoming movies. They are the use of the icon bar and secondly, the home page. These two methods are by far the most popular ways of getting around QuickBooks. A third method is our menu system. You're familiar with this from other programs that you use within your computer. The big advantage of using a menu system is that it's a great way to learn our shortcut keys. For instance, I'm on my list menu right now and you'll notice below, chart of accounts. Next to chart of accounts I have control A. This tells me that if I'd like to get to the chart of accounts quickly, just simply hit your control key, press the A key and you are there. Whatever methods that you use for manipulating the screens, make sure they're most comfortable for you. Always remember, there are many ways of accomplishing the same task within our computers. The trick is find the one that works with you, stick with it and enjoy.
