Customizing Your Screen / Customizing Your Toolbars

In addition to the use of the home page, QuickBooks includes an icon bar. Now, the icon bar can be used in addition to the home page or in lieu of the home page. This is the concept of set up QuickBooks for the most convenience for you. Let's talk about customizing this icon bar and how we can make our day to day activities easy. First you'll notice that I have a variety of different icons and the text to describe them right underneath. The beauty of this is wherever I'm at in QuickBooks, odds are pretty good I can add it to my icon bar. For example, let's say that I'm working with my vendors and I'm going to be entering bills on a daily basis. Here I can go to enter bills and when I click on it, the bill screen appears. Now, I'd like to see this right on that icon bar. All I need to do is go to the view menu, down to where it says add-enter bills to the icon bar and click. When I do, you'll notice that add window to the icon bar appears. First I'm just going to name it. The label is recommended as bill. I'm going to ask it to say enter bills, rather than just bills alone. So I simply change the text. Off to the side are just a variety of icons. You can choose whichever one that you would like to or you will find that QuickBooks always recommends one. In this case, I have a little envelope with the check ready to be mailed. I'm going to select my icon, say ok and the icon now appears on my toolbar. When I close out of my bill window, you'll notice that I can simply go back to enter the bills by clicking on my icon. The use of the icon bar is not just for data entry forms. It's also for our reports. Let's say, for instance, that I have a specialty report that I'm asked to run every day. Let's go to the reports menu and click on it. Underneath you'll see the various examples of the reports. In this instance, I'm going to say that I've been asked to run an inventory report every day. I'm simply going to select the inventory evaluation summary and it appears on my screen. At this point, just as we did before, I'll simply go to the view menu, add my inventory summary to the toolbar and I'm ready to go. This example, though, the text is relatively long inside of the label so I'm going to choose to just delete some of that out and simply call it inventory. I'll accept the default icon, say ok, my inventory report is ready for me to go. The beauty of this icon bar is it can save so much time and make us so much more efficient in the use of QuickBooks. Another example of working with the customization is by using the right click feature of your mouse. I'm on an empty portion of my icon bar and I'm going to right click. You'll notice that I came up with customize the icon bar. Here I can readily go to the exact same screen that I used in adding these icons. One thing I'd like you to notice is that we can adjust the order. You'll see my inventory is at the far right of my screen. Perhaps I'd like to move it closer to the find button. All I need to do is grab the little diamond next to the word inventory and simply drag this straight up. When I do, I've placed it right next to find and you'll notice that it has moved on my icon bar also. Another item I'd like to point out is the add key. When I press add, you will notice that it takes me to a screen that has the most commonly requested shortcuts for that icon bar. If these are one of the items that you are looking for, simply select it. In this case I chose credit cards and the icon that it recommended and I'm going to say ok. I did not have to do anything. My credit cards appeared. Notice in this case it's not at the end; it's in the middle under the inventory icon that I was just working on. If I go up to my screen, there's my credit cards. Again, if I'd like to move it, simply drag the diamond off to the side. This time I'm above the register and you'll notice on top my credit cards are right next to the register. Customizing this icon bar is a wonderful way of making your day to day so much easier. Take some time, set it up for the way you like it to be and always remember, nothing's permanent. A couple clicks of the mouse and you can change it and re-customize it all over again.
