Creating a library. A QuarkXPress library, like its namesake, is a storage place for content. Though not quite as elaborate as the Dewey Decimal System, the library feature does provide you with a labeling and retrieval system that makes finding and placing items very simply. In this movie I will show you how to create, move and resize a library and then how to add and retrieve content. Let's get started by creating our library. Then we'll store and retrieve items. To create a library, choose File, New, Library. Type a name for your library, choose the destination for saving and press return. Once you've done that, you will see a palette like this one here. The library at this point is empty. In order to show you library, we have to drag out a tool or two that you haven't yet learned. I apologize for jumping ahead but we need a few things to work with. Go to the Tools Palette. That's this long palette here at the left of the screen and select the Text Content Tool. It's the second tool down. If you're unsure, mouse over it without clicking until the tool tip pops up to identify the tool. Go to the Document Page, click, hold down and drag. Drag downward like this. Once you have a box approximately this size, release the mouse. Since I don't want just an empty text box in my library, I'll add text. Go to the Utilities Menu and choose Jabber. Your text box will immediately be filled with text. If your library is off the edge, like mine is, you can move it. Click and hold down on the top of the palette's window frame. Now drag the library to where you want it and release the mouse. You can resize the library too. Click and hold down on the lower, right-hand corner and drag the corner. When you have the desired size release. Now, to add the text box to the library, hold down your Command Key on the Mac or the Control Key on Windows. Click and hold down on the text box. You can let go of the modifier keys once you start dragging. This is a shortcut to use the Item Tool, the first tool in the Tool Palette. This tool is used for moving items. Keeping the mouse button down, drag the text box over to your library. Release the mouse button when you see the eyeglasses icon. Now that this text box has been placed in the library, we can drag and drop it anywhere in an open project. To do this, click and hold down on the text box and with your mouse button down, drag the text box out of the library and release the mouse button. An exact duplicate of the text box is placed wherever you release the mouse. As we talk later about synchronized items, do not confuse library items with shared content items. There is no relationship between the first text box and any other text box duplicates you drag from the library and place on your page. If you edit text in one box, it is not updated in the library iteration and it is not updated within any iteration that you've dragged in the library. To label an item in the library, double click it. When you do this, a small window appears and you can type a name. If you already have named items in your library, you can choose those names from the drop-down menu. This is helpful if your naming is in category instead of individual item names such as flowers. Click OK to apply the name. To find an item, click the drop-down menu at the top of the library palette, choose the item name from the drop-down and release. All items matching that name are displayed. To remove an item from the library, click on it, press the Delete Key. As you can see in this alert message, you can not undo a delete from the library. Click OK to remove the item. You can drag items into the library and place them between other items but you can not change the order of items once they've been added. The way I do this is drag an item to my project window, delete the item from the library, then drag it back into the new position. The best part about libraries from my point of view is that you can share these items across projects. It's really handy to have your company logo in a library and be able to drop it anywhere it's needed. But that's just one really simple use. There are thousands more.
