Creating Projects / Books & Libraries / Creating a Book

Subtitles of the Movie

Creating a book. A book is a collection of completely normal QuarkXPress projects that are identified as chapters by including them in a book. Using books enables you to synchronize attributes across multiple projects and manage page numbers from chapter to chapter. This can be critical when managing large tomes. In this video I will show you how to create a book, add chapters and synchronize attributes. Let's get started by first creating a book and then we'll explore the options for the chapters of our book. To use this feature you must first create a book by going to the File Menu and choosing New, Book. Type a name for your book, choose a place to save the file and click Create. Once you've done that, you will have a small palette like the one you see here. To add a chapter to the books list, click the Add Chapter icon on the palette, navigate to the chapter and click Add. Continue with this process until you've added all the chapters. If you later add a chapter that should be between two already in your list or if you add a chapter in the wrong order, click on the Chapter Name in the Chapter List and click on the Move Up or Move Down Arrow until the chapter is in the correct position. Using the Print icon, you can select multiple chapters and print them. This works well if you're printing native QuarkXPress files but if you're printing to PDF, it doesn't serve you at all. The books feature does not remember the print settings you chose with the first project or that you chose to save as PDF. The synchronize feature is what I like best about Book. But honestly, with job jackets you'd be better off to set up a job jacket settings to ensure continuity across multiple jobs. Oh, wait. I'm getting ahead of myself. Job jackets are covered later in this video tutorial. This chapter is the master chapter, as indicated by the letter M. When you use the synchronize feature, the attributes of the master chapter are applied to the other chapters. To synchronize attributes between your chapters, select the chapters you wish to synchronize, then click the Synchronize Button. This dialog box looks very similar to the append dialog box which has been described in another movie within this video tutorial. In the let pane, click the attribute you wish to synchronize. In the available pane, attributes assigned to the project are displayed. You may click the Include All Button below this pane or you may Shift Click to select a sequence or Command Click on a Mac or Control Click on Windows to select multiple options. Click the arrow in between the two panes to move from the available pane to the including pane or from the including pane back to the available pane. You may also click Remove All to delete everything from the including pane. If you'd like a bit more information about a particular attribute so that you can make a decision about moving it, click on that item only and the description pane below the list will display the particulars. Continue through the list of options to synchronize or if you're sure you want all attributes synchronized, click the Sync All Button and be done with it. Click the OK button to apply your settings. This is usually a quick process but it's really very handy. The Pages Column displays the page numbers of the pages within the chapter. The books feature manages this for you and will even update all page numbers and all chapters should you insert pages somewhere along the way. To open a chapter, double click the title in the list and the status will be noted as open. If more than one person is using the books file, they will easily see that the file is open and who's opened it. One restriction worth noting: a chapter may not belong to more than one book. The only workaround is to duplicate the chapter. But then you run the risk of two versions ending up with separate edits applied. Projects that belong to books do not behave differently except for the part about not belonging to more than one book at a time. You can decide at any point in your production cycle that you want to add the book's feature to your workflow or at any time decide that it no longer meets your needs. In that case, simply delete the book's file and continue on with your production.
