In this movie, we'll go through the workbook exercises found within your Work Files covering the Information Distribution Process which has been our focus of this section. There are 11 questions total to review so let's jump right in. Question one says, what is the purpose of the process? The purpose is to make the needed information available to project stakeholders in a timely manner. It helps to time the purpose with the title of the process. I realize this sounds very logical but when we tend to study material sometimes it's the most basic things that get by and which are helpful. Moving on to questions 2, 3 and 4 you are asked to note down as many inputs, tools and techniques and outputs of the process as you can recall. I'll most likely remind you every time not to be too concerned if you don't remember all of them but see if you can make the connection and recognize them. After all the exams are multiple choice so you would be presented with options to choose from as opposed to a fill in blank. Normally I do make the suggestion though as I did within the assessment to remember at least the outputs and work your way backwards. Moving onto question 5, this process is responsible for implementing what plan? And the answer is the Communications Management Plan. This may have been a give away after the seeing the inputs of the process which included only the Communications Management Plan. Next describe the responsibility of the sender and of the receiver within the communications model. The sender confirms that the information has been understood correctly and makes sure the information is clear and complete while the receiver makes sure the information is understood correctly and received in its entirety. In question 7 you're actually presented with the basic model of communication. The question says, in the diagram of the basic model of communication below fill in the blanks with the appropriate names and descriptions. Number 1 is encode, number 2 represents the message. The little hash lines represent noise and upon receiving the information the receiver decodes it which fills in the answer for 4. 5 encodes which is the receiver getting ready to send a response to the sender. 6 represents the message, once again the little hash lines represent noise that the message must go through before it can reach its recipient and in number 8 the sender decodes the message from the receiver. Question 8 says name the six types of communication. These include formal written, informal written, formal verbal, informal verbal, non-verbal and listening. Moving on to question 9, what provides the media that information is gathered and retrieved through and the answer is information gathering retrieval systems. Next name at least three types of information distribution methods. You received 12 of these examples during the process review. These included meetings, hard copy documents, manual filing systems, electronic databases, email, fax, voicemail, telephone, video or web conferencing, web publishing and Project Management Tools. For our final question we have a fill in the blank. Updates to the blank result in improvements to the product, service and business skills. The answer is lessons learned process. That closes out this movie covering the workbook exercises of the Information Distribution Process.
