In the previous video I showed you how to record a Macro. In this video we'll see how our calendar Macro works. I'm going to insert that same table again. Insert, Table, Quick Tables and we'll scroll to find the table that I used. I'm now going to select and delete all the dates in the calendar and we're going to create a calendar this time where the days start on a Wednesday. I'll click in Wednesday because that's where the first day is and now let's see how to run our calendar Macro to add the dates in automatically. I'll choose View and then from the Macros drop-down list I'll select to View my Macros. Here's my CalendarDates Macro. I can just select it and then click Run to run it. And you can see that immediately Word has run the Macro and entered all the dates into the calendar. If I didn't need all these days I could just select and delete those that I don't need. Because I designed this Macro with care by hitting the number key and then the Tab key to move from one table cell to the other, the Macro's pretty adaptable and it can be used any time I want to put 31 numbers in a table. All I need to do is to click in the first cell before I run the Macro. Now let's have a look and see what happens when we have a week that starts on Sunday. Again, I'm just going to delete all these numbers and we'll click here in Sunday and notice that so far I have five rows of cells for my numbers. Let's run our Macro again. Macros, select CalendarDates, click Run. Now I started off with five rows but I didn't have enough for all my numbers, but because the Macro types a number and then presses a Tab key, when it gets to the last cell of a table as soon as you press the Tab key it just adds another row to the table, so this table is going to expand to fit as many numbers as are needed. Having created my Macro, I could add it to my Favorite Items Tab on the Ribbon. That would make it more available than having to go through the View Menu, Macros option every time I need it. We already made provisions in the Favorite Items area for a Macro so let's go and add it now. I'll choose File and then Options and then Customize Ribbon. Now I want to select my Macros area here because that's where I want to put my Macro and from the Choose commands from list I'm going to select Macros and here's my Macro, so I'll select it and click Add. You can see that it's been added here but has a really long name, so I'm going to select it and click Rename and I'm just going to call it CalendarDates and I'll select an icon to use and that icon will show at any time that the word CalendarDates can't fit on the Ribbon. So now that I've got that typed I'll select OK. Now we have a better name for our Macro. I'll click OK because I want t accept the change that I've just made to the Ribbon and here's our CalendarDates Macro on the Ribbon. Again, let's select all these dates to remove them and let's just check that our Calendar Macro works. I'm just going to click the button and there we have it. So now you've seen how to record a Macro, how to play it back and then to add it as a button to your Word Ribbon.
