So what if we have printer priority setup and the executive needs to print something just a small memo and the executive prints it on their high priority printer. So it should come right out of the print device on the out side of the executive's office. Right even though that print device is being shared by the clerical staff. Well that is true except for the fact that the current document that is printing on that print device will have to finish. Or what if that current document is 500 pages long and is on the third page then the executive is not going to be very happy because he or she is going to end up waiting for quite a while before they can get their document, even though they have higher priority because the document is already started. But what if that document really doesn't even need to be used for couple more days, what if it is needs to be printed out but it does not necessarily need to printed out right now. Well, would not it have been better if when that document was sent to the print device if that print device said, hold on there, we are not gong to print this just yet because it is going to tie up this print device for the rest of the day. So what we going to do is we are going to print this at midnight tonight then all we will have to do is to just make sure we have got enough paper and the print device for we leave that day. So that is what availability and scheduling allows us to do, is to set when the print device is available for printing, when we do that while modifying the printer properties. So let us take a look at how we will do this in our example or we going to do is we are going to make a new printer another one for LPT 1. So we going to double click on add printer click on next and we are going to make a locally attach printer, click on next and we are going to use LPT 1 again click on next. So it says ok he is still talking about that AGFA AccuSetting, say yup, yes we are, click on next and it says ok, well, you are going to keep that existing driver than the that you have been using, that is what we going to do. Click on next and it is ok, well, do you still want to call AGFA AccuSet v52.3? No, we are going to call it long documents and do you want to use this as the default? No, not necessary, so we are going to click on no and click on next. Longdocu for the share name that is fine. Now I am going to set in locations. Do you want a print test page? No drivers been tested, so it says ok, this is what you said you wanted to do. So what you want to do click on finish. So now we got our long documents printer. Now we are going to right click on the long documents printer, click on properties click on the advanced tab and we are going to set that it is only available from 12.01 AM until let us say 8 AM. So the only time that this longdocuments printer can be used is at night when no body else is around or at least when not as many people are around. So what will happen now is we will then assign permissions to those people that use those long documents. So that print those long documents will right click on the printer, go to it's properties go to the security tab or take out the everyone group. Not everyone is going to be using this so we will remove the everyone group and we will then make sure of that they also do not have any access to the other printers. So we will take out the every one group from the other printers as well. So let us click on ok here and for example we would want to remove the every one group from the executives. So we will make sure that we remove the everyone group from every where that we need to and make sure that the people who print long document only have this one option. So now what will happen is when they print their long document their document will just sit there until 12.01 AM and then there is as long as there is enough toner and enough paper the document will start coming out at that point. So as you can see there is a lot too managing printers. In fact probably a lot more than you thought there was, but it is important to know how to manage printers. So that people are happy and so that people get the documents that they need in the time that they need them. So we need to know how to manage printers, we also need to know how to manage the hierarchy of our network. And We have got new tools starting with Windows 2000 and continuing on the Server 2003 We have got organizational units that we can use to delegated administrative authority and to distribute group policies. So in our next section we will discuss managing OUs. That is next.
