Introducing Visio 2007 / Using Microsoft Office Diagnostics

Some of you may be familiar with the detect and repair utility that was included in previous versions of Microsoft Visio and most notably the Microsoft Office 2003 Suite. Well, in the Office 2007 system, or as Microsoft likes to call it, the 2007 Office system, the detect and repair tool has been supplanted by a stand alone application called Microsoft Diagnostics. Now, why would we want to use that tool? Well, how many times have you used an office application and had the program just crash on you unexpectedly? Well, it's always unexpectedly, isn't it? You don't want that happen. Obviously you don't want to lose work. You don't want to lose precious downtime and so forth. So In this movie, I'm going to show you how we can repair not only a Visio installation, but any other Microsoft Office applications that you have installed on your computer. Now then, there a couple of different ways to access Microsoft Diagnostics. One is from within Visio itself. Again, those of you who have used the detect and repair tool are familiar with its location and it was in the help menu here. But as I mentioned just a short time ago, that utility is no longer around. Instead we have what's called Office Diagnostics. And you'll notice that the Office Diagnostics entry in the help menu has an ellipses after it, a dot dot dot. That should tell us that that option, that clicking this option will do something or will prompt us for further action. By contrast, other options that don't include the ellipses, like check for updates, that's not going to ask us anything outright. That's just going to execute an update check. Alright. So what we can do now is minimize Visio and I'd like to show you the other place where we go to get to Microsoft Diagnostics. What we do is open the start menu, come up to programs, slide on over to Microsoft Office, we're almost there, open Microsoft Office tools and finally, there it is; Microsoft Office Diagnostics. So, whichever way is most comfortable, go ahead and choose it. I'm going to come back to Visio, open the help menu and select Office Diagnostics. As you see here, this is a stand alone application and it's asking is Microsoft Office having problems? It warns you right here at the outset that diagnostics could take up to 15 minutes to run and you may need to connect to Microsoft servers in order to do that. We'll click continue. Before we run diagnostics, let's look and see what it's going to do. It's going to check online at Microsoft.com to see if you have any problems that, for which there's a known solution. It's going to check your system memory, existing updates and then compatibility. Basically it's going to do an end-to-end check of your system; not just the software files, but also your hardware. The setup diagnostic will scan and make sure that all of your application files are intact, that they haven't been corrupted and finally, disk diagnostics will look at the actual hard disk on your system to look for errors. This what will diagnostics do hyperlink is useful if you'd like to know more. Now, because this diagnostics process takes several minutes to run, I'm just going to describe it rather than actually run it. You click run diagnostics and it will go ahead, and actually, why don't I click it and at least let it start. You can see that if a test passes, it'll tell you status completed and the memory diagnostic is going to take a while so I'm going to cancel out of that right now and then click yes to confirm. That's fine. But you'll notice that when errors are detected, you may be prompted to insert your CD ROM, otherwise the test will be passed. Finally, in order to have Visio check Microsoft.com for your updates, you'll need to make sure in Visio, selecting tools, trust center. You have to make sure that in your privacy options, you have this entry right here enabled, download a file periodically that helps determine system problems. So again, you'll want to make sure that in the trust center dialog box privacy options area that this option is turned on, otherwise the diagnostics may fail.
