We have looked at getting information into and out of Visio using object linking and embedding. And the advantage of doing that was that we could then edit the information in the original source application. So we saw that with a Visio diagram in Word, we could edit that diagram in Visio after have either linked it or embedded it. Now there are other cases where we might not be able to use object linking or embedding, or you may simply just want a graphical representation of the image in our document, and we don't want to have the original Visio functionality available. In that case we can export the Visio diagram as a graphic, and likewise we can import other things into Visio simply as graphics. So firstly, let's have a look at exporting diagrams as graphics from Visio. And to do that, we just either select the drawing or select the shapes that we are interested in exporting. So, let me just select a few shapes here by dragging a square around some of them on this flowchart - they are selected. And we simply have to go up to the File menu and select Save As. We give the particular graphic we are going to save a name, and we select the type from the save as type dialog box. So let's have a look here what we have got - let me save this as a TIFF image for example. Having done that, we have got basic flowchart Test2.tif, we are going to save that in our test files and I click Save. What happens then is we get an output options dialog box appearing, and we can then customize that save according to our needs. At this point we will just accept the default there, and we've saved that now as an image. To show you that has indeed worked, we will move to Word and import that into Word. So if I go Insert>Picture>From File, and we will see there we have got that TIFF image there, and I can then click on Insert, and it puts the saved image into our Word document. So that's exporting from Visio. Let's have a look at importing a graphic now. To do that, we go up to the Insert menu, Picture, and there we have got some options, different options for inserting a picture. Let's start with From File. And here, we have a number of different files. And we have a preview box on the right-hand side. So by clicking on the different boxes, we can get a preview. So this is the one I have called 'sample'; I have saved it in a number of different formats - TIFF, PNG, JPEG, GIF, BMP. These are all supported formats amongst many others that we can import into Visio. So let's just pick one at random, say a JPEG, and click the open button. So now that's been imported onto our drawing page there. So you can see that the import has gone to the existing page we have opened. There's another way we can import graphics, and that's to go File>Open, and again we can select the particular graphic file we are interested in. So if we select a GIF for example, we have it there, and we can open. And in this case, Visio brings it in on a new drawing page. Once we have the picture imported, we can go in and adjust it by, on the Format menu if we choose that and go Format>Picture. And the picture dialog box appears. We can now go and adjust the various settings related to that picture, and as we do so, we get a preview there on the right-hand side. Once we are happy with that, we click OK to return to our drawing. There are a few other options available to us for importing graphics into Visio. If we go to the Insert menu, Insert>Picture, you will see we can also import some Clip Art, and also from a scanner or digital camera. Just clicking that one brings up the insert picture from scanner or camera dialog box. Now if you want to do a quick insert without worrying too much about the settings, you can just select web quality or print quality and then click Insert. Otherwise, if you are interested in customizing the settings more exactly, you would need to click the Custom Insert button. This here, 'add pictures to clip organizer', with that selected the scanned or imported image from the camera is saved and can be accessed again through the clipart section. Otherwise if you don't want to keep a copy of that automatically, you can just take off that check mark there.
