Publisher 2007 Foundation / Office Window Elements

In this movie, let's begin building on your foundation of Publisher knowledge by learning about desktop elements. Specifically, let's look at the Office 2007 window elements in this movie. The Office 2007 environment obviously includes your shortcuts on your desktop. I've got a Microsoft Publisher shortcut there to start the program. I can also go to start, go to your programs menu, find Microsoft Office and then also there will be listed everything that you have for 2007. I can right click that, drag it to my desktop, let go and it will ask me if I want to copy a shortcut there. So if you don't have a shortcut on your desktop, easiest, simple thing to do is just go to the that programs menu, drag and drop it there. I'm going to cancel this since I already have a shortcut. I'm going to double click on Publisher 2007 to open up the program and here we are within our office window. The typical office elements that you need to make sure that you're aware of are your title bar. The title bar in Office programs always tell you what program that you're in. You have a close button at the far right, the X. You have a restore down button, which is the middle button there. If you click that restore down button, you'll see my window resized. I can take my mouse, go out to the outer edges, get the two-headed arrow and shrink this window over. I can also go up or down and pull that in any direction that I want to. Just go right on the edges of your windows. What that allows you to do is work within this screen and also have something else running to the side. Maybe your looking at graphics or checking email over here. You can resize your Publisher window so that you can multi task easily. You can also hit the maximize button to bring it back full screen if that's all that you want to work with. The first button over there is your minimize button. The minimize button automatically goes down to your task bar here. I can click that again, opens it right back up. This allows you to minimize it down so that you can do something else and then go back to your document. You'll notice the button is pushed up so that you have to push it in in order to activate that. These three buttons over here at the right also are duplicated over here at the left. There's a small, little icon there that has the restore, minimize and close options. So if you're ever in Publisher and you can't find the buttons to the right, or even if you're out on the Internet, these same options are available. Also notice your shortcut key there. Alt F4 will always close windows. I'm going to click that little icon again to pull that menu back up inside there. The other things you want to be aware of menu bars. Anytime you have a list of words across a document or across any program, simply click those and those bring you menus. When the menus are grayed out, that means you simply can not use those at that time or you need to do something else in order to activate that. Most of these are grayed out. If I don't want a menu anymore, I can hit the escape key on my keyboard or simply click the menu item again and that pulls the menu back up in there. Right here I have a search box where I can type in there and also you have a search box up here within your office program. Over here at the left is a task pane of items. In here in the middle are some thumbnail shortcuts and over at the right is the quick task pane to go to recent publications. I am going to double click and open up an item here for you. With this item open, again I want to address the title bar. See how it says publication one, Microsoft Publisher? We're doing a print publication now. This tells us what it's for. It might be a web publication. Publisher again is our program. Publication one is our file name. Now, when we save this, if I go to file save as, I'll call it calendar. Save that. Now, after I save the file, I can look at the top on the title bar and here and I can see how it says Calendar.pub. That's our extension and this is our file name. So always be aware of what you name a document. Again, we have our menu bar. We can click on any of these, click on them again, it brings the menu back up in there. You can type a question for help and then, of course, we have some toolbars here. We'll get more specifically into those items later on. But on toolbars, if you ever don't know what something is, simply lay your mouse arrow on there and it provides you a screen tip. You'll notice over here at the left we also have a toolbar and right here we have our task pane. Office 2007 provides task panes so you can do things quicker and easier. Right here in the middle is our document. And then over here at the right our scroll arrows. We can go up or down. There's also a scroll bar. You can pull that up or down. There are also scroll bars at the bottom. You'll see these in all office programs so you can go left or right. The scroll bars are used a lot in Office programs, especially in Publisher 2007. You'll want to know how to pull them up and down so you can more quickly move throughout your documents and your publications. Another quick little tip is on the menus, if you'll notice anything that has a shortcut key to the right, those might save you a little time, so be aware of those. Also be aware that anything with three dots means it's going to open up another window or another dialog box for you to answer some questions and anytime you see an arrow that's pointing to the right, that means you're going to get a submenu with some more options. Some of these also have the toolbar button that's the shortcut little button that you can use. So they give you a lot of information within these menus, so if you want to learn some shorter ways to do these items. And don't forget; not only can you use the elements within Office windows, but you can also use your keyboard. If you know where your arrow keys on your keyboard are, keep those in mind because sometimes they will help you move little by little when you need to. So that's the end of this movie.
