Working with Resources / Adjusting Availability

It would be nice of course if all of the resources in our project work the same amount of hours and we didn't have to make any adjustments for people being on vacation or people attending their kid's activities or things like that or any other conflicts that come up and then everyone worked a 40 hour week or a 60 hour week or whatever we specified. But of course that is not realistic and Project 2007 certainly allows for adjustments in individual resource working time as we assign those resources to our tasks and what that generally includes and by the way of your entering in resources don't do what I've done here and that is name 2 of your resources the same thing, like a done because then as you adjust the working time or as you start to assign those resources it can become very confusing so lead actor 2 or lead actress or whatever you want put here, so we'll kind of differentie between the two. Where we'll see this come into play of course is let's say our lead actor wants to be in the movie project but has something coming up as your in the middle of the shoot where you know before going in that they've already agreed to do another commercial for someone else so they'll have to have a few days off in the middle of your movie shoot. So, once again you can adjust for this by adjusting the working time for an individual resource and to do that go to the tools menu and click on change working time. It really doesn't matter where you do this from in fact if you go, if you're looking at the Gant chart here, if you're just looking at your list of tasks here you can go tools, and change working time. So we have 4 calendar and again we'll have the standard calendar here but as I've added all those resources to my project notice that each one of those resources may have and will have a different working calendar. So our lead actor 2, you know that in the month of let's say July 4th through the 6th they're going to be shooting another commercial or their going to be attending some 4th of July event or something like that. So what you would want to do here of course is use your exceptions tab and add an exception for that particular calendar of your lead actor number 2. So let's just say 4th of July events, they're going to be the guest celebrity, something like that. So to start they're going to be in because I've pre-selected it here that start and finished date is already slated here. So once I click on OK then as I start to allocate that resource to a task if I allocate them to a task that is happening during that time it won't assign them work hours during those 3 days because their calendar won't allow it. So that's one way you can use this change working time dialog box to adjust the calendar for up a particular resource. You also might have a resource like say the line producer and the line producer charges per week to be on the set and so their work week can be ten hours a day rather then 8 hours a day. So we can also allow for that as well, see the working times for this line producer, 8 am- 12 pm and so on. Well what you can do here is that you can once again select the calendar first, the resource calendar first and now click on the work week's tab. Now under their default entry here, just leave that selected, it should be selected by default if you click on work weeks. But just leave that as it is and click on details. Now you will be able to set exceptions for this particular work week which would be in this case would be all work weeks. So you can use this to specify for example that they can't work on any Friday so you can set those days as non working time and then click on ok. So now this particular resource can't work on Friday, so they can't work on Mondays or they use the time from the base calendar for these days or Monday through Friday and I just hold down the shift key to make all the selections at once. You can set these days to these specific working times. So now this little chart here, these spreadsheet cells become editable and now from 8 am to 12 and 1pm let's say they work ten hour days so that would change that maybe to 7 or let's say 6 is when they get off and they start actual an hour earlier. So now you have for this resource Monday through Friday, what you've defined is that this particular resource when I click on ok, now a standard working week for the line producer here is a 50 hour work week. So we've changed the work weeks for an individual resource and we've also set exceptions and allowed for people like our lead actor, lead actor number 2 to take a couple days off in the middle of our shoot and when you make changes like this and I switch back and forth if I've made a change it'll ask me if I want to say the change is made for line producer and I will click on yes to commit those changes.
