Working with Resources / Setting up People

And welcome to chapter 3 of our tutorial, our look at Project 2007. In the first couple of chapters we have set up a project, set the parameters, the boundaries of that project, as in this case we've created a movie project then we have started to define the tasks of that project, now in this module or in this chapter I should say we get to define who and what is going to be allocated towards getting these tasks accomplished. And so that is going to be the focus, just getting started with that task as we put our project together and so we're dealing once again with resources. There's a couple of different ways to start to just simply define the resources, we're not going to allocate resources yet. We're just going to set up those resources and we can do that in a couple of different ways. One is that we can click on the resources button in our project guide toolbar here that is of course one of the defaults here is that the project guide is showing. So we can do that right there. We can also change the view if we wanted to and use resource sheet, resource usage and so on, but we're going to get there anyway. So if we have the project guide showing, we'll get a list of tasks that are related to resources, we could also use the drop down menu here right next to the button, so lots of different ways to get this to task that we're tackling here in this first module. But we want to do this first one here, specify the people and equipment for the project specify the people and the equipment for the project. So that takes us over to what is the resource sheet, there's really no difference in our navigation here whether we go to the view menu or whether we go through the resources button in the project guide toolbar. There's actually a couple of different options here, we could add resources from the company address book by selecting the address book. This is typically something that you'll do if you're using maybe a centralized database of resources or names like if you're using exchange server. You could also add resources from project server if you have a project server as a backend database of project information. So company address book, company directory or enter in project resources manually and that's what we'll do here in this module. So now all you have to do if you enter resources in manually is just start to type. So you can enter in resources based on the names of the actual people who are going to be doing the work or you can even set up a project and just have job titles and know that later on you're going to have to assign someone to be the director. For example and all you have to do really is enter in the resource name and Project 2007 will fill in some other default value such as their standard rate and overtime rate. Now of course you can add these as we go as well. So we can do producer, we can do lead actor, lead actor, so there are two leads supporting actor and so on and so on. Will fill this out as we go. Now you can also use the arrow keys, we can use the tab keys as well to navigate around our resource sheet here or once again we can use the tab keys and have their standard rate as maybe say a 100 dollars an hour, their overtime rate could be 150 an hour, same thing director just start typing and all you have to do is type in the numbers and project will apply the defaults of dollars per hour. So this would be 300 an hour would be the overtime rate. Now I want to show you one more thing as we're starting to add some of the resources for our project here before we actually assign the resources. So we set up this, I mentioned that this was called the resource sheet well it's actually a simplified resource sheet. The full resource sheet we can go to through the view menu and click on resource sheet. What you're going to see here is just some more fields, some more columns that we can enter about the resource then what we have here. So just as we're defining the people and resources, we just enter in their title or their name and then their standard rate and overtime rate, but of course with this resource sheet we have some more fields that can affect how those resources get allocated. So let's say we have one of the people or one of the human resources on our project is going to be the grip and really grip represents a department. We might plan on having two maybe four people available to do the grip work but it doesn't really matter which one specifically gets assigned to the job. We can contend for that with adjusting the max units fields. So let's say there are two units or two people who are going to actually be the grip on the set. Well, you can have the max units of 200 percent and what this simply means is that the resource has one hundred percent of their available work time to give to the project. So if you assign the director to work for one day, that means that at a hundred percent of a one day is going to be again by default 8 hours they can devote to that task for one day. Grip has 200 percent, so if you assign one days worth of work to the grip department their only going to work four hours or four hours are going to be allocated because they have 200 percent of their maximum units to dedicate to the work so when you're assigning a days worth of work you're actually allocating 16 hours worth of work to the grip department. The inverse of this of course is the person who is only available part time, so maybe have a producer who can only be on set half the time or half of their time has to be spent on one project and half of their time has to be spent on another project. So if you now configure their max units to be 50 percent of their available work then if you assign that person to a days worth of work or to work on a task for one day for example their only going to work four hours of that day. Most people, most resources that you assign will have max units a hundred, if these are some of the reasons why you might want to adjust that max units setting.
