Setting Up Project 2007 / Import Outlook Tasks

Now I showed you just a moment ago how to take information that you have in project file and save it into another application like excel. This particular module could really, could go at the very end of our tutorial on the tips and tricks section to help you more efficiently use this. But a lot of times when you have project, you first decide to purchase project you've been using other applications to manage your project information. For example you might use Outlook and you might try to manager a project just by creating a whole slew of Outlook tasks. Can you use those Outlook tasks and leverage information that you already have and use them in project? Absolutely you can. Watch what happens from the tools menu if you select import Outlook tasks, you can then choose a profile to use if you have multiple profiles set up in Outlook, you might not be prompted for this by the way. Click on OK and then Outlook asks you are you trying access information stored in Outlook and is this ok, so I'm going to allow this for one minute or five minutes or whatever. So I'll go ahead and allow this, now you get a dialog box that looks like this. So if you have several tasks that have been created by you, by someone else, someone can send you tasks in outlook certainly, and you want to turn those tasks into a project that you can track duration and track costs and associate all the things you can associate with a project task. All the power that it has you want to just take your Outlook task as a starting point, put a check by the things you want to bring in and click on ok. You can select them all, you can clear them all if you want to, but again just by selecting and clicking on OK you now have bingo all of those tasks right there at your fingertips in your new project that you're building and now you can set things like duration. That's 5 days, that's 4 days, that's going to be 7 hours and so on and so on and so on. So as we wrap things up in this introductory module here, this introductory chapter, I just want to give you a glimpse into some of the power that project has and some of the ease of which it can be used. You don't have to make it as complicated as it can be, it really, it can do a lot of things, but as far as just taking information that's already out there in your network and using it in project and start to manage a project, it can do that as well and it can do it very quickly. So now you have a good foundation, we'll pick up in the next chapter with a look at creating specific tasks.
