Introduction / Using Keyboard Shortcuts

Let's take a minute to look at some keyboard shortcuts and other goodies. For those of us who get a bit tired of clicking a mouse all day, we have the keyboard that we can use to save our wrists and work a bit more efficiently. How we do that is through something called the keyboard shortcut. Now, for those of you who are new to this concept, let me explain what a keyboard shortcut is. In a mouse-driven world, we use our mouse to execute a command like so. Let's say we want to make, let's go to a slide here and let's say we want to make this heading bold. We'll go over to the bold button and we've made the text bold. We do this through our mouse. Now, we can also do this through the keyboard shortcut, like so. Now, you're going to have to trust me that I'm not using any other special tricks other than the keyboard shortcut. I wish I could have a camera over my shoulder to show you how I'm doing this, but in this case we don't. All I'm going to do is hit the control key and B, B for bold and I've now made that text bold. I hit control and the B key again, and it goes back to regular. Now, how do you get to know all these shortcuts? Well, lucky for you, and this is new to Office 2007 applications, is we have the ability to get these little visual clues. And how we do that is by hitting the alt key just once and notice what happened to my window here. I have a bunch of little visual hints to tell me what to hit next. So for instance, if I want to go to the insert tab, I hit N like so. Now, if I want to turn these off, I go ahead and hit the alt key one more time and they're off. Right? Turn the alt key on again, let's go back to home. And is that pretty cool or what? So let's take a look at how we want to do this right from the beginning. First of all, let's turn alt key off by touching it once. Now, let's go ahead and do our shortcut. Going to hit the alt key once, give me the visual hint. Ok, I want to be on the home tab, so I'm going to hit H. Oh boy, look at all those options we can use. And I have to, say I want to make my text bold, first of all I need to make sure that my text is selected. Notice what happened when I did that. I selected my text; I turned the visual hints off. So that's going to happen anytime you touch a key. It's a one-shot deal. Turn those back on, I'm going to hit alt, hit H to light up what's on the home tab and I can make that bold. Ok? And I hit the alt key again, H to light up what's on that tab and let's see, I also want to make it italicized, but I'm going to do that by hitting the number two, which you can see right here. There we go. Alright. Now, if I wanted to go ahead and change that, hit the alt key. Notice that up here I have some of my various menu commands. I want to undo, so that's the number four. I have an option. I can undo italic, bold, so forth and so on. I'm going to go ahead and just hit the enter key to undo the italic and that's how you have it. Now, let's take another look at how we can do this and let's go to the alt key and now we're going to go to the design tab by hitting the letter G, ok? And we have a bunch of options here. What I want to do is take a look at the colors that I can use for this slide, so I'm going to go and click T and C, so T, C and there I have my various color palettes. And again, if I hover over these, I'll get a preview and what was this one here? Ok. I'm going to pull this one just because you'll notice this, woops, there we go. The red on top of the bar matches pretty close to the red on the dog's collar. So I'll click that and there we go. Now, although I'm not going to be using keyboard shortcuts throughout this tutorial, just because it's harder for you to see what I'm doing, I do use them quite a bit in real life. Why? Because it makes working in PowerPoint so much easier. I would suggest you do the same and start finding a few of your favorite commands like cut, copy or paste or one of the things I use a lot is the undo when I make my inevitable mistakes. Start to play with these a little bit and then start working on building a mental library of the various keyboard shortcuts that you can use to make your life in PowerPoint just that much easier.
