The main Outlook workspace is designed for maximum efficiency. Its default settings are designed that way to serve the needs of most users but because everyone works differently they've made it easy to massage the default arrangement in simple ways, in big ways, to achieve a workspace that works for you. First, in Mail View, the simplest way to customize the workspace is to resize the panels. You can make more room for viewing your Folder list, for example, by dragging to the right or make less room by dragging to the left. You can widen the Reading Pane so that you can see more of your message simultaneously and maybe the text wraps in a way that's easier for you to read. But if you decide that that's chopping off too much of your list of items in the Inbox you can change it back. You can turn this To-Do Bar on and off and like the Reading Pane you can customize its content and position. With regard to the Reading Pane let's go to the View tab. I can choose Reading Pane and switch it, for example, to Bottom and now you can see that the Reading Pane puts the messages below the list of messages here so you have a much more natural appearance of the messages instead of cramming them into a panel. I prefer having the Reading Pane along the Bottom rather than on the side. Of course, as you can see in the menu, you can also turn the Reading Pane off and if you choose Options you get to choose how quickly items are marked as read when viewed in the Reading Pane or mark them as read as soon as the selection changes, meaning if you go on to another message and you can choose to use a single key reading using the space bar. In addition to the Reading Pane you can adjust the position and content of the To-Do Bar and that's this bar over here on the right. It's currently set to Normal. I can Minimize it where it's just represented by this vertical strip. I can turn it Off. Now if I bring it back to Normal and then let's review our Options again, we can choose which of these three main items will be included in the To-Do Bar. Right now the Date Navigator is there, the Appointments are here and the Task List is here. If we click Options we have the ability to choose whether or not to see the Date Navigator and now many months we see at the same time and choose how much detail we see about our appointments and whether or not to include the Task List. So this is just sort of an expanded set of options compared to what's in the little drop list here. Now you can also customize this Quick Access Toolbar. If I click the arrow here, the little drop arrow, right now all that's up on that list is Send and Receive All Folders and Undo. I can add Print and you see the icon appear. I can add Delete, I can add Find a Contact, Empty the Deleted Items folder - lots of things you do all the time. Now if those things don't suit or if you want more things choose More Commands. Now under More Commands you have the ability to choose from all these guys here, all these commands under the Popular Commands category are things you do frequently. You can also switch over to different lists of Commands as represented on the Ribbons, so for example, if I wanted to include a Send and Receive Command I just switch to that category and then choose the item. So, for example, I could choose Send All and then hit Add and Send All is added to the Quick Access Toolbar. Click OK we see that the Print Command, which I added from the Menu and the Send All Command which I added from the dialog box now appear there. Now once you like the way things are arranged as long as you exit Outlook in an orderly fashion your settings will be saved. If Outlook crashes or something and you have to shut down in a non-normal way your settings will not be maintained, it'll be from the last time you had a normal shut down, but typically, every day when you open up Outlook you can make sure that it's arranged in the way that works best for you.
