Send and Receive E-mail / Send an E-mail Message

Well in the first module we looked at how to get started creating an e-mail with this Message Window here, which is a new part of Outlook 2007. Now let's actually concentrate on addressing it, and getting it sent out here. And quite obviously, you're going to do that with this section here, and this section is actually called the Header section of your e-mail. Now, to use this, or to type in an address, you can either just set your insertion point here with a click, and start typing in an e-mail address, like b-r-o-c-k-m-o-r-e @gmail.com or, you can use the To section, or the Carbon Copy, sometimes also known as Courtesy Copy, but Carbon Copy is what I call it, to open up your Contact List. And so you can add other contacts by highlighting the name, and either Blind Carbon Copying, or Carbon Copying here. You can put them in the To field as well, and then click on ok. You can also separate, you can add more than one person to this line, by separating your e-mail address with a semi-colon, so, semi-colon and then I can type an e-mail address like bculp23@hotmail.com or again, I can use the To section to continue to add additional names. Now, notice here I selected Brian Culp, and I clicked on the To button and it already automatically puts that semi-colon in there for me. Now, another way that you can do that is just simply with a comma and then Brian Culp, here's another thing you can do, you can just type in the name of the person you're sending to and before the message is actually composed, Outlook will check your list of contacts, and see if there is a match just like that. So, as I tab through, in the background, Outlook is going, now, where, is there a Brian Culp in my address book? Yes there is, and so it will use the match of, whatever the primary e-mail address is for that particular name you've typed in. And so that's another way to automate the addition of the names. So again, I use the comma, outlook automatically also switched that to a semi-colon as you see there, and that is the default behavior. If you want to double check this by the way, go back to your main program page for Outlook 2007, go to the Tools Menu, click on Options here, and then in your E-mail Preferences, so on the Preferences Tab, go to E-mail, go to E-mail Options, this takes a little bit of clicking around as you can see. But under Message handling here, click on Advanced E-mail Options, and then at the bottom, that comma separator is governed by that check box there. So if that check box is unchecked, then I won't be able to use the comma, I will have to use the semi-colon at all times. But again, to make it more intuitive, that is a default selection. And now I'll switch back to the message, and the way I'll do this is with the Alt-Tab, there's the Alt-Tab, and I can switch back to the message here, so there's the VTC message, just by holding down the Tab and continuing to shuffle through my open programs or applications. So there we go, there's what I was composing. And then the last thing I want to show you before we send this out is that you can send it out in one of three formats. So, in the Ribbon, you click on the Options Tab of the Ribbon. Look in your Formats section here, and you have the default, which is HTML, and I'll show you how to change that default later on; but you can also send it out as Plain Text, and if you click on Continue, if you formatted the text already notice that will change. You can send it as HTML, or you can send it as Rich Text format, so make your selection here, continue if you're dealing with Plain Text, and what I'll do here is I will select a name. If you selected a name by the way, and you decided that, no I don't want it to go out to that person, you can right click and clear, or you can click and backspace or delete, and the same effect will occur. Now, let's just send it out to this one person. To send the email of course, there's a big button, hard to miss and that's the idea by the way, called Send. So, click there, and the message goes to the Outbox, waiting for the next time that I send and receive e-mail.
