Manage the Inbox / Using Flags

Well, assuming that you listened to the previous module, and also assuming that you were paying attention while you were listening to the last module, you probably have a pretty good idea of what this module is going to be about just from looking at the title, and that is setting a flag. So I've mentioned that now there is a differentiation between setting a category of an e-mail and setting a flag and that's exactly what we'll do here. I can flag something for follow up, a particular item, by giving it a click, either a left click or a right click. And the same thing holds true, if I do a left click, it creates the Quick Click options, if I give it a right click, I can pick other options as far as flagging it for follow up. If I set the Quick Click action I get this little dialog box, and maybe I want the Quick Click action to be due for tomorrow. So anything that comes in, usually isn't an emergency but, if I want to just give it a quick left click I say, Ah I've got to do that and that's something I need to follow up on by tomorrow. So, if you've got something flagged for follow up already by the way, like I've done here, and I think, well how do I change it? Well, just give it a right click, and change it to tomorrow. Or, give it a right click and you can clear the flag. Here's another handy thing. You can give it a right click and add a reminder to this e-mail. So it's flagged to follow up, and again you can, lots of other additional information you can tag on to this. So let's just say I want to reply to this e-mail and my reminder is going to be Monday March 5th at 8 A.M., or on Tuesday So I want to, first thing in the morning, when I come in to the office on Tuesday, his e-mail comes in on Friday, I come in the office Tuesday, I'mgoing to get a reminder. And that reminder is going to say, Hey look at this e-mail and reply to it. So you can see this information, anything you flag for follow up not only is going to be listed in your To-Do Bar here at the bottom section, so follow - well, let's see, if I flag this for follow up tomorrow, notice that it's right there. Those are the things I have to follow up on tomorrow. Boom, I can double click on it to open it up, or I can just navigate over to my Tasks here, and I see this same information. So arrange by due date, here are the things that are due tomorrow, and if I open up this task, here is the information that I added to it with that follow up action that I added: Reply. So that's what I have to do for this in order to follow up on it. So I'm not going to do that right now of course, but I'm going to go back to my e-mail. And then of course when I'm done with something, you can do it from your Tasks, you can do it from your Mail; if I'm done with this spreadsheet task, I can follow up on it here, and look down here, let's do this same one here. Here's something flagged for follow up, this is actually overdue. There's its task, in the To-Do Bar, Sales Data Spreadsheet. If I give it a click, again, if it's already flagged it's going to be marked as completed. Well notice it's already taken off this To-Do list. So, all this information you have can be leveraged in a lot of different places with this new program.
