There is one last thing that you can use for help in Microsoft Outlook and that's the office assistant. Your program by default will probably will start office assistant. I've switched it off for the purposes of this training video, which is why you don't see the office assistant popping up all the time. So in my case, I actually have to switch him on. And to do that - I select help, I go to show the office assistant, I click it and here he comes. The beauty of the Office Assistant is, he will automatically decide what information it is that you need help on. And in this case, he has come in and is asking me what would I like to do. And he gives me a number of options from what he thinks I need help on. And I can click and select any of these options here if I want to or I can type in a question. And then select search. If none of these topics suit me, I have the opportunity here to see more, and I simply select see more. And you can see here there is another list of things that have come up, or I can see previous list and go back to what's available to me here. Let's say for this example this isn't what I am looking for, I want to do a search on fax - I simply type in and select search. And what the office assistant now does, is search through his database and he decides for me a list of information. The most popular coming up first. So let's say I want to learn about sending a fax using Outlook - all I need to do is select that, it minimizes the screen I was working on. You can see here it has pushed it over to the side. My office assistant is still there, when I need him. But the answer to my question now appears in a separate window here. I then have a choice of searching for different information here or selecting from the list that's available to me. So perhaps I want information on how I adjust the view of my fax page, I simply select here from the list. And you can see here on the right hand side that that information has in fact changed to what I want. And when I am finished learning, I simply close that Outlook help box, and the screen resizes back to what I was originally working on. You can have a bit of fun with the office assistant, simply move over towards him with your mouse over him, right click, and there is a couple of things that you can do. At the moment I want to take a look at the options that we have. So let's see what options are available. We can see here, there are two tabs - for the movement we'll just take a look at the options tab. You can see here, you can choose a number of different ways to use the office assistant. And you simply select how you would like the office assistant to help you when he does pop up. Responding to F1 keys, helping with wizard, displaying alerts and you can check and uncheck from this list here, depending on your desires. You can also have the show tips about features to suit yourself as well - including showing a tip of the day etc. But basically it's here where you choose how the office assistant actually works for you. And you can reset your tips if you want to. Now you are not struck with the paper clip. If he doesn't suit your fancies, there is a whole gallery of office assistants that you can choose from. And let's take a quick look at then now, simply by selecting next. There is a dot, little robot, F1, the genius, office logo, mother nature, links the cat and rocky. So basically you make your choice. And in fact I am going to go back to genius, because I quite like him. And when you have made your choice, simply say OK. And now here he comes - the new office assistant. Now when you make your choice, you may have to insert your disks or your CD Rom in order to load the new office assistant. If he gets in your way, simply single-left click-hold, and you can actually move him around, and position him where he is not going to bother you. Office assistant is a terrific tool for people who are fairly new to computers. Because what it does is it keeps you company every step of the way, regardless of whether you are writing a letter or designing a fax or using your e-mail or Outlook - whatever the case may be. The office assistant will pop up at chosen times when it thinks that you need help. And it decides which topics it believes you need help with. For an experienced PC user though, the office assistant can get, and look really there is no other word for it, extremely annoying. Because he does pop up at every opportunity, whether you want him to or not. Let's take a look at how we switch off the office assistant. Now, if you right click over him, we have our selection of options here. Firstly let's take a look at this hide. Hide is completely different to removing the office assistant all together. If we select hide, you watch, he just disappears. But the very next time I need help and I click on help, here he comes again. So in order to remove him permanently, you need to right click, go to options and up here at the top you'll see, use the office assistant and its checked - if you don't want him there, you need to uncheck him and say OK, and away he goes. From now on when you select help, you'll get that original window - the library style design that we looked at earlier on. So let's close that. But all and all, the office assistant can be quite fun, so I guess it is entirely up to you. You can choose to use him and he'll keep you company or you can switch him off, and only use help at times when you specifically request help. And who knows, the office assistant is quite cute, and if you work alone, he might be just the thing to keep you company!
