Another easy way to manage your email is through the use of rules and rules can perform an action on an email based on criteria that you set for an email. So it does an evaluation of email as it's hitting your Inbox and sometimes as it's leaving your Outbox and then performs the action that you specified. It's very simple to set up. To start with, let's pretend here that we want to move all mail from a certain person or a certain company, maybe a domain, to a folder in our Inbox so before I get going, I'm going to create a new folder here. I'm going to create a folder by going to the new, under file, and then create a subfolder. And so we'll just call this one VTC, make it all capitals here and press Enter. So now I've got a subfolder, no messages in the folder of course. You can manually manage this by the way. You can certainly drag and drop your email into the folder if you'd like to, so now there's something in there. But another way we can automate management of that folder is that we go to the tools menu and then we click on rules. And that brings up the rules dialog box here where we can then create a new rule. Notice the little drop-down arrow. We can create rules for POP account, IMAP accounts, Exchange, news, we can create outgoing rules as well. So in this case here, because this account, this Inbox manages POP email, let's create a new rule for POP email and that would just be done by clicking on new because we've already selected this folder in the folders that are managing this account. So click on New. It will have to do with POP. I can also select here, here and here and when I get started, it will create a new IMAP rule, but again, I'll click here and new. So now we'll edit the rule. So from the editor. And now I start to add criterions. So if this happens, if the mail matches these criteria, then these actions will happen and you can add criterions and then add actions as you can see in this dialog box. Whether or not it's enabled, you don't have to enable it right away. And the other filter here is this one. Do not apply other rules to messages that meet these criteria. It is possible, maybe you're screening your email for a certain word or a specific client name that's mentioned. Well, maybe if it's met it automatically goes into one folder and then other rules, which the email might match, won't be applied. So that could also have a significant effect on what action takes place on the email. So let's start here by clicking on add criterion. So if the from contains and then we'll just say so, if that's the case, that's the criteria that I've set. What are we going to do? We're going to change the status to not junk email. So we want to make sure that that happens or we can set the category to work automatically and what else can we do? We can create a to-do item. Tomorrow. So all the email now that comes in from my editor, the VTC editor here, we're pretending this is what's happening for this rule. What will happen is that I'll get a category of work and we'll set a flag on it for tomorrow. And again, you can pick from lots of items here. You could just remove the attachments, save attachments automatically, you could reply and then you could set an auto-reply text. So there's a lot of things you could do. You could also just move the message and then move it to the VTC folder. So again, you could be as particular as you want to be with your actions and, of course, if you want to remove an action, just select it and remove it. Same thing with the criteria. So we can remove the criterion here because right now this will apply to all messages and we don't want it to apply to all messages. I could have changed this if I wanted to, but I'll just select it and move the criterion. So now I click on OK. It's not active yet because I unchecked the enable. Now it's enabled and now with this rule configured and enabled, all the email that comes from my editor, and of course, you'd be more specific than just typing edit, but if that appears, if the word edit appears in the from line, it will be moved there and it will be categorized as a work-related email. That's how you use rules and they can really help automate your day. Generally you come in to work, you get a big pile of email, get your first 10 or 15 emails of the day and you could automatically move them and set follow-up items without even reviewing what's in the emails themselves. Just let Entourage do that for you.
