Introduction / Open and Close Workbooks

After you've organised records into workbooks and worksheets, you will need to know how to navigate between different workbooks. In this lesson we will learn how to open and close workbooks in Microsoft Excel. Right now, we are looking at our 1999 records workbook. Let's say we wanted to make a comparison between this year and 1998's records. To open that workbook, we can either click on this open button on the tool bar, or go to the file menu, and select the open command. Notice that there is a keystroke listed next to this for control and the letter 'O'. This would also execute the open command. A dialog box will open. The very top lists a look in box. Currently I'm looking in the folder called budgets. If I needed to change this folder, I could click on the down pointing triangle to bring down the pull down menu, and then look through the rest of the hierachy of my computer. I'm going to click back on the budgets folder. There are also some default folders that you can get to quickly through this bar down the left side of the screen. If I click on desktop, I then immediately see the desktop of my computer. Let me go back to the budgets folder again. I'm now going to open the 1998 records workbook. I can either double click or select it and then click the open button in the lower right corner of the screen. Although it looks very similar, the 1998 records workbook is what's showing to us right now. If I scroll to the right, you'll see that the whole year has been entered into this workbook. My 1999 records workbook is still on screen although its hidden behind my 1998 records. A way that you can tell what workbooks are currently open is by selecting the window menu. At the bottom of this menu, it will list all the open workbooks. A check mark will appear next to the workbook that is currently on top or visible. If I want to switch to my 1999 records workbook I can simply click on it from here, and now I'm back in the 1999 records. In this way, you can toggle, between many different open workbooks. Let's say that I'm finished viewing my 1998 records, and I'm ready to close it. There are two methods for closing: either through the file menu clicking on the close command; or by clicking on this second x in the top right corner of the screen. This x will close the workbook that's on top. The x above that is for closing the entire application. When I click on this second x, you'll see that my 1999 records workbook appears again, since 1998 records has been put away or closed. To reopen a workbook, with which you have recently worked, you can click on the file menu and locate those workbooks at the very bottom. Notice my 1998 records workbook appears here, since I most recently had that one open. When I click, my 1998 records appears again in the window, and in the window menu I now have both workbooks showing up again. To close the 1998 records book again, I'll use the file menu command and select close.
