We have discussed working with pictures and shapes. Let's now talk in terms of inserting charts and tables. Both of these items can be inserted from the Insert Tab. You'll notice the Table and you'll notice the Chart. Both of these have been improved and have some wonderful new features within them. You will need to be comfortable with these new tools when taking your examination. First, a table. To insert a table I'll go to the pull-down under Table and I'm asked how many rows and how many columns that I would like. Notice it fills it in on the screen as I'm going along. When I click, the table's been inserted. I am now taken to an area where I can actually do my Table Styles. I go to the pull-down. The very first section you'll see is going to be recommended colors for the type of background that you have chosen. Notice that it says Best Match. If I wish to choose a blue tone, it has been stylized to actually match the components within my screen. To type in a table, I'm simply going to start typing. When I want to go to the next column, I'll simply Tab. I can continue doing this all the way across. Now, notice three did not fit into the column. I am going to the line that separates it from the next column and I'm simply going to drag it over. Notice that I've adjusted the column but I've also given up space in the following columns. You'll have to be aware of that in PowerPoint 2007. If you're adding a new column width, make sure you're adjusting your other columns accordingly. You can see that the new column styles matches with my background. As with all objects and shapes, I always have the ability to right click to be able to get to more tools. Notice here I can select the entire table and I can split or merge cells when necessary. These are common questions that appear on the exam. How do you merge a cell? The answer; simply select the two cells, right click, choose Merge Cells. Formatting the shape is very similar to what we have seen in formatting the shapes of objects and of text boxes. You will notice that you have the same components in the background. Let's remove our table and discuss our chart. Once again, the Insert Tab, Illustrations Ribbon and Chart. All I need to do is to choose the style of chart I want and say OK. You will now notice that you actually have a copy of Excel that has opened side by side with PowerPoint. This is a new feature for Microsoft 2007. You'll need to be aware that it's a slightly different feel than it was in prior editions. You'll actually find it's much easier to work with. Since I'm in Excel, I have more flexibility in how I change my information. For example, if I'd like to use the Auto Fill Feature that we discussed earlier, I can choose my cell and fill the series. Notice; it's automatically changed on the chart. When I close out of Excel, I am now back on my PowerPoint presentation. I can now change this accordingly and if I'd like to have a new style, you'll notice I can even select a new style on the chart. As always, when we're working with our information, I have the ability to move and copy. I also have the ability to format. Formatting your chart in PowerPoint is now identical to formatting it in Excel. Notice I chose the wall. I now can format the wall. If I go to the background, I can format the chart area in the background. If you are choosing to take the PowerPoint examination and are not planning to take the Excel examination, you must review the movies regarding the charts. You'll want to look at other tutorials and become familiar with this feature. You'll need to understand that working a chart in PowerPoint is now identical to working with a chart in Excel.
