Along with actually having our own tasks, we will frequently want to assign a task to someone else. This is a form of delegation. In my example I'm simply going to choose a task that has already been created. You'll notice on the top that my task tells me when I'm starting, when it should be followed up on and when it's due. Notice the yellow bar. The yellow bar is telling me the category that it belongs to. If I want to assign this task to someone else, I'll simply go to Assign Task. You'll notice the addition of the To Line. I can now click on To, choose who I want to assign it to, select To again and say OK. When I send the email, Melvin will be assigned this task. Now notice; I can keep an updated copy on my Task List or I can choose just to have a status report when it's complete. If I already get too much email, I may choose not to keep an updated copy on the Task List all the time. In other words, every time that an update is coming in, I may not choose to receive them and actually save them. If I have the checkmark there, it'll appear on my Task List and when it's updated or things change I will be getting notifications. Now, keep in mind that at this point I have not send this task to Melvin. Should I change my mind, I can actually cancel it out. Once I send it, that task is now owned by Melvin. When I go back into the task itself, notice the line Owner. The Owner is now Melvin. The Status stays as is but Melvin will be making all changes to it. If I want to actually send the status report to the person who sent it to me, when I click on the Send Status Report, if you've asked to keep updated copies, this is the information that you would receive. It just replays the information from the current task. The Subject, Priority, Start and Due Date, Status, Percentage Complete and, if chosen, the Actual Number of Hours that I've put into it. Keep in mind that all of these columns can be changed to suit what information that you require. I'm going to close out, not save my changes and return to the screen itself. If you wish to actually send a status report but you also want to forward copies of information to others, you will notice that you have the ability to forward. If you're receiving status reports that have come from multiple people, such as a distribution list or group, you'll notice that you can reply to everyone right away or just to the individual that sent it to you. Always be careful when replying to All. You need to make sure that people want to be copied on your emails rather than just doing it as a course of habit. Too often we send replies to All and as a result, we get too much email. Keep in mind that the owner of a task is the person who is now in charge of it and will be doing all the editing. When I close out of an assigned task, whether I see it on my screen is determined by the choices that I make. When taking the examination, just be aware of the fact that you have your own tasks or tasks that are assigned to others and the terminology that's used in conjunction with tasks.
