When working in Microsoft Outlook, we very frequently want to share our Calendar with other individuals so it makes it easier to schedule Meetings, Appointments, et cetera. If you are using an Exchange Server, it is very simple and straightforward to share the Calendar. You would go to Share a Calendar by publishing it and it would be done automatically. If you are not on an Exchange Server or wish to share your Calendar with somebody that is outside of your network, you can still do so by either the use of email or the use of the Internet. Microsoft Online sets up a community center where you can share your Calendar. Also, if you are using an ISP Provider or a specialty server, they may have set up a routine where you can also share Calendars. You do not need to know the specifics of each of these on the examination. What you do need to know is that you can share a Calendar through Exchange, through email or through an online service. Let's talk a bit about sending a Calendar via email and publishing. We can publish to an Exchange Server or we can publish to an online provider. If you are on an Exchange Server, your screen will reflect that information. I am not currently on an Exchange Server so I do not have those items to show you. However, let's start with sending a calendar via email. The first thing that you need to be aware of is that that feature may or may not appear on your screen. Should it be hidden, just simply go up to All Calendar Items. When you're on All Calendar Items, you will very quickly get back to the area for sending and publishing. Just keep in mind that it is often hidden when looking at the Navigation Pane. And again, All Calendar Items will take you back to that section. That, of course, is an example of a question that might appear on the examination. Let's go into Send a Calendar Via Email. You'll notice when I select it, it automatically brings me to a dialog box. The dialog box wants to know what Calendar that I will be actually sending. I'm choosing My Calendar. It also wants to know the Date Range. I can send Tomorrow, Seven Days, 30 Days or the Entire Calendar. You could even specify the dates. I'm just going to choose the Whole Calendar because mine only has a few examples set up. You'll also notice that we can choose the availability. I can give you Only Availability, Limited Details or Full Details. Of course, you'll want to be careful on the size of the file that you're changing when selecting Full Details. You'll also notice under the Advanced Key I can hide the items that are marked Private or I can include them. By default, they will be turned Off. I can also select whether I'm just going to list the Events or show you my daily schedule. I'll say OK and you'll notice that it's telling me it's the Entire Calendar. This is how the email will now be sent to the person in which you want to share you Calendar with. You'll notice that it gives me each of the dates. The dates in bold have items. I simply click to follow the link. If I prefer, I can simply go to the attachment and just simply double click on the attachment. Here you'll notice I'm right back into Outlook. I can now go to the Month or to the Week or to the Day. In each particular instance, I can see each of the items that are on the screen and it gives me the feel of the Calendar. Sharing your Calendar in email is very simple to keep everyone up to date. You do not have to save the changes or, of course, you can. In this case I'm going to say No. You'll also notice the ability to publish a Calendar. When you publish a Calendar, you will be going to an Internet source. The most commonly used is the Office Online Community Calendar Section. This allows you to send your Calendar to Outlook. Outlook will have you set up passwords and security. Only the people that you invite in will be able to see your Calendar. This is wonderful if you're working with people that are outside of your network. You can still let them still your Calendar without being in your internal network. You'll notice that only invited users can use it or anyone can search for it.
