Introduction / Understanding IRM

When you are working with Office 2007 you will need to be aware of IRM, or the Information Rights Management. This is a separate piece of software that must be installed if you would like to use the Permissions within the Office Suite. In this video I would like to talk about why we install IRM. In the upcoming Word Section, I will talk specifically about how to apply Permissions. Keep in mind that you can restrict Permission to content in documents, Workbooks, and Presentations, by using the Information Rights Management System. Always remember, however, that you must download this program. There is a free trial which you will want to download for the Examination. IRM will prevent a recipient from Forwarding, Copying, Modifying, Printing, or Pasting the content of that document for unauthorized use. It also prevents restricted content from being copied by using the Print Screen feature. The idea is to restrict your content wherever it is sent. You can also support File Expiration Dates, so that the content cannot be viewed after a specific period of time. You'll also be able to enforce corporate policies that govern the use of your content. There are some shortcomings though. You cannot stop the content from being erased or stolen, or even captured and transmitted by malicious programs, such as Viruses or Trojans. You also cannot restrict content from being hand-copied, or re-typed from a display, nor can you stop a recipient from taking a digital photograph of the restrictive content that has been displayed on the screen. And, finally, there are always going to be third-party screen capture programs that will get around the restrictions that are set up by IRM. For the most part, however, these permissions come in very handy for 95 percent of the cases where restriction is required. You'll want to read up and understand the Information Rights Management. This will come up on the Examination and you'll want to be prepared for it.
