In this lesson we're going to cover Reports. These collect and assemble information about our business and display it in an easy-to-read portable format. In MYOB we can generate a report on almost anything, so we won't have time to go through them all. However, the process of generating each report is quite similar, so once we've done one the rest should be easy. We start the process of generating a report from the Menu by choosing Reports and Index to Reports. The reports that we're able to generate are listed at the left, and are also organized into groups by the tabs at the top. As I mentioned, there are a massive number of reports that we can run. Down below the Reports List we can see what this report will look like by viewing a generic sample. Below that we can print this report or send it to a variety of formats, and we have quite a few here to choose from. Just to the right above that we can customise each report, and this is a very important step in producing reports, but we're not going to cover it just yet. We'll do that in the next step. Over on the right is a Display button and we'll look at this first. I'll choose the Sales tab at the top and select Sales Detail. Clicking the Display button now generates the currently selected report. At the top left we can change the Date Range included in the report and then hit the Redisplay button to show the change. At the top right we choose between a report formatted for the Screen or a Print Preview. In the Main part of the Window is the report itself. We can see just how the report will look and the information contained in it. When we move the cursor over certain parts of it a magnifying glass appears and we can click to view that element. In this case it's a Sale. At the bottom we have the same Print and Send To buttons as we found in the previous window, and finally another Customise button. We can customise reports from either Window, but I've saved this one for last. Click this and the Customisation Window opens. It's important to remember that the Customisation Window Layout is the same for different reports; it's just the actual Fields in the different areas that change. In the top section are the basic Filters and then in the middle we have Advanced Filters, Report Fields, and Finishing options. The Advanced Filters will further refine the information contained in the report. Under the Report Fields tab we can hand-pick the Fields to include in the report. Select a Field on the left and all of the currently selected Fields are collected and displayed in the right column. Under the Finishing tab we can control how the report is presented and some more information to include in it. One cool feature, if we run this report on a regular basis is that we can add it to the Reports Menu, and this is the Reports Menu up here, by clicking here. And finally, we can Format the report. Choose a Font and Style for each Report Line at the top left, and we choose the Line here; decide how to Display Negative Numbers; and specify Alignment and Margins. At the top right we see the result of our selections. OK, I'm going to end this lesson by talking about Report Batches. If we regularly generate the same group of reports we can save time by printing or sending them in batches, and to do this we go to the Menu and choose Reports, and Report Batches. To create a new Batch, click the New button at the bottom, and here we have a List of all the reports that can be included in a Batch. To add reports just click on them and that will place a checkmark at the left. Give this Batch a name at the top, and click OK. Now we can see it in the List. We can return to this list at any time by again, clicking Reports, Report Batches, and here it is. Now when it's time to run this Batch we first choose a Report Period. I'll choose June. And now click the Print button. To edit an existing Batch, simply select it in the List and click the Edit button. And to delete a Batch, select it in the List and choose Edit, and Delete Batch. So, that covers Reports in MYOB. Like Analysis there are so many of these and they are so useful that it does pay to spend some time looking through all of them to find out which ones will benefit you the most. And that's it for this lesson. Let's move on.
