In this lesson we're going to take at the information contained inside a Card. For this I'm going to use the customer Chris Davis. To edit you can double-click the entry or use the arrow next to it, or hit the Edit button. Here we can see that the information contained in a Card is divided up into seven sections. Let's have a look at each one of these now. First up is Profile. This is the basic contact information. First we have Customer Type, which is Designation company or individual. We have the Name here, a Card ID, and their address, telephone, et cetera. Notice that MYOB lets you have multiple addresses, though. The customer may prefer separate shipping and billing addresses, or a supplier may have a local distributor for goods but a head office in a different state where payments need to be sent. MYOB gives you a total of five locations you can enter. For Customer Cards by default the first two are Bill To and Ship To as these are the most commonly used locations. At the bottom of the Profile tab we have some buttons. First we can print out this person's profile details, Next, we can generate a personalised letter for them, and we can sent them an E-mail. This E-mail feature can save us some time because we write the actual E-mail right here, we don't actually have to open our E-mail program. When we hit the Send button, MYOB uses whatever E-mail program we have installed to actually send the E-mail. And finally, we can visit this person's website with one click using the website button. This will open your Web Browser and point it to whatever we have entered in the website Field here. Let's move on to Card Details. This is where you add notes and assign a photograph to a contact if you'd like. And at the bottom we find Identifiers, Custom Lists, and Fields, and we covered this in another lesson, so let's move on to Selling Details. This is where we record Sales information peculiar to that customer. Tax Information, Payment Terms, Billing Rate - all of these things can be recorded here. If a particular customer always uses the same Shipping method, go ahead and record it here as well. Almost all of this information can be recorded at the time of sale, but if it's always going to be the same for this customer you might a well save some time by storing it in their Selling Details, then whenever you start to enter a sale for them the information will already be selected. Notice that if you want to choose, say, a Shipping Method, the List shown here is the same list that you see if you choose Lists, Sales and Purchases Information, and Shipping Methods. If you want to add an entry to this List you can either add one here using the New button, or you can go to the List. At the bottom of this page we have Credit Limit and Hold. This is where we set a customer's credit limit and we can put them on hold if we need to. Next up is Payment Details, and this one is pretty self-explanatory. Just like in the previous page the Payment Method Field uses the Payment Method List found in Lists, Sales and Purchases Information, and Payment Methods. Moving on to Contact Log, this is what I spoke about in the previous lesson. It's pretty much straightforward and quickly shows us every recorded contact we've made with this person. Print the Log using the button at the bottom left, or add, or edit Log entries here. And Next, we come to the Jobs tab and, as the name suggests, this is simply a list of all the jobs we've done for this particular customer. MYOB shows us a number of things in this window directly, most notably Percent Complete, and Net Profit and Loss. It makes it easy to see if a customer is making us money or not. Use the buttons at the bottom here to Create, Edit, and Print jobs. And, finally we get to the History tab. In the box at the left we can choose Fiscal Years to view the Contact's activity during each time period. The left half shows the current year, and the right half allows us to look at other years. At the right we can see how long a customer has been with us, the last time they purchased and paid, and even how long it takes them to pay on average. Finally, we can see how much their biggest purchase was and the maximum amount they've ever owed us. Now, so far we've been looking at a Customer Card. All the other types of Cards are similar, but not all of the features are used in each type. Mary Jones here is an employee, so let's have a look at this Card. We don't generally do jobs for employees so the Jobs tab is grayed out and not selectable. Also in the History tab we don't have the section at the right. Let's see what's different in Personal Cards. Well, we don't sell to personal contacts otherwise they'd be a customer, so the Selling Details and Payment Details are also grayed out. And that brings us to the end of this lesson, so let's move on.
