In this lesson we're going to cover the Toolbar in the upper left-hand corner of the Form Editing Window. The first five buttons are used to create the five different types of Fields in the page: Data, Text, Picture, Rectangle, and Line. With the exception of the Data Field button, to use these we click the button once and then click on the page, or click and drag for Rectangles and Lines. I'll demonstrate these four now. For Text, click this and click on the page. Same thing with Picture, except with Pictures we then need to open this up and load the picture that it will contain. For Rectangles click and drag, and the same thing for Lines. Notice that Lines have to be either Horizontal or Vertical. For Data Fields we need to start by specifying the type of data that we want to display in the Field first. I'll click this button and it brings up a List of all the printable Data Fields in MYOB. We select them by placing a checkmark at the left of them. And notice that we can also add multiple Data Fields at once. At the top there is a Select Only Field, and we use this by typing the first few letters of the Field we want. We're then taken directly to that Field and it's selected. Be aware, though, that doing this will deselect any previously selected items so be careful with it if you're adding multiple Fields. Once we have our desired Field selected click OK and MYOB adds all of them to the page; in this case only one because that's all I had selected. Now we simply set the Positions and Sizes for them and that's it. Moving along the Tool Box to the right the next button is Undo. This will simply reverse our last action. It only reverses one action though. It doesn't give us multiple levels of Undo like most Desktop publishing applications. Repeated clicking this button will toggle between the states. Also, be aware that deselecting the item will remove the ability to Undo an action, so if you're thinking about undoing something don't deselect the item. The next two buttons control Stacking Order. We can place Fields in front of one another, and this can be cool when we use Background Colors in our Fields. For example, we can place a light gray Rectangle underneath a Text Field and offset it a little bit to create a very simple drop shadow. The next button allows us to change a Font quickly without having to go all the way into a Field's Properties Window. Select a Field, click the button, choose a Font, and the Font in that Field changes. Next, is the Form Properties button which we've already covered. It does the same thing as double-clicking in an empty area of the page. And finally we come to the Form Preview button. Clicking this will generate a Preview of the finished Form, already filled in for us with sample data. The Print Setup button at the top left lets us configure our printers. OK, there's one more Toolbar item to cover and this one only shows up when we customise cheques, so I'll Cancel this window, Cancel again, and return to the Menu to select Setup, Customise Forms, and this time I'll choose Cheques. We'll customise this Cheque, and here's our setting here. It controls the type of Cheque Stub that we want to print. Select Cheque for no stub at all, or Regular Payable Refund, or Paycheque for the corresponding type of Cheque Stub. The Cheque Stubs are printed down here below the cheque. OK, so that's it for doing the actual customisation. When we're done we need to save our changes. We can click the Save Form, or Save Form As buttons. If we're working with a Default Template that came with MYOB these two buttons with both do the same thing. MYOB will kindly not let us save over the Default Templates. If we're working on a Form that we've previously customised and saved, though, the Save Form button will allow us to save over our old Form. And that's it for Forms in MYOB. Let's keep moving.
