Now that we've created a Company File we can go ahead and start to use it. Before we do that, though, I'd like to show you a little bit of housekeeping that you're going to be prompted to take care of the next time you open this file. So, let's open this file again. There's no real way to close this file first without totally shutting down MYOB so I'll just choose File, and Open File. This has the effect of closing your Company File first and then reopening it, exactly the same as if you were to shut MYOB down. Now when I click this I'm given a prompt that says This Company File has never been backed up. MYOB takes your data pretty seriously. Any time you make changes to your Company File and then go to close it, MYOB will prompt you to back it up, and this will happen every time you make changes. So, just for now let's hit Yes, and we have some choices. We can Backup Everything in your Company File, which includes custom invoices, et cetera; or we can only Backup the Company File itself, and M-Powered Services Only. I'll leave this one selected. And next, we can check the Company File for errors. Now I'm going to cover this in a minute so for now I'll leave Do not check Company File for errors selected. Hit Continue, and we're prompted for a Backup Location. Notice the File Name, it has 0405 in it, and today, the date of this recording is the fifth of April, so the date is actually included in the File Name. This makes it a little bit easier to find your backup files later. Also, the default location for the backup is inside the MYOB Program Folder in a Backup Folder. Now, I'm not going to actually save this just yet. I'm going to go ahead and open the file again. Now each time we open a file we're prompted for the user ID and password, which I'm going to cover later, so we can leave that blank for now, hit OK, and now we're prompted to activate our Company File. You might recall from earlier on in the Course I spoke about File Activation and the fact that we have 90 days grace period before we have to activate the Company File, so we can do this online or we can do it by phone or we can activate it later or we can just go ahead and mark this file as Read Only in case we don't want to make any changes to it. Now the activation process is very easy. All you have to do is select this, hit Continue, it'll make a few checks, it'll prompt you for your Serial Number, and let it go through the process. But for now, I'm going to Activate this Later. A reminder of how much time left that I have to activate this file, and finally, we're prompted for Data File Verification. Now as I mentioned a minute ago, MYOB takes your data seriously. So every time you open a Data File MYOB wants to make sure that there's nothing wrong with the data file, that nothing is corrupted. You don't have to run this now, but it's recommended. If I click No, I'm back in my VTC Data File. And that's it for this lesson. Let's move on.
