Creating a Database / Organizing Fields

Let's show you some of the other great features in this dialog to help you manipulate the way it looks. We started off in the previous tutorial showing you that you could move a field around by dragging it from this icon, just click and hold down and you can move it to wherever you want it to be. What we didn't tell you is that you can highlight a field by clicking on it, then either hold down the Command, which is sometimes called the Apple key, or the Control key on Windows, and when you do that, you'll see that little highlight come around, that extra highlight. And then you can move the fields using your arrow keys. People like to use these keyboard commands, so that can be handy, and actually you can use this keyboard command with the Command or Control key and the arrows in a lot of different dialogs, so try it out; it can really be handy. So when you move this around, as we mentioned before, it changes from Creation Order to Custom Order. Now, what you have is a lot of options here, you can go back to Creation Order, you can see date of birth goes down there, and you can go back to your Custom Order. But you can also go to Field Name, sorts everything by field name, you see, there's a little highlight here, and you can also choose Field Type, and that sorts all the text fields together, all the date fields together, and so on. Now, you can actually just simply click right on these headers, if you want, and that will sort these columns. And this third column actually doesn't sort, it toggles, and it tells you that. It toggles between the Comments and the Options, so right now, we're looking at Options, and if we click that now we see just that comment that we typed in, so we don't have to go directly to it to see it there, we can actually just see all the comments right there. I usually stick with the Options, but it's up to you, whatever you prefer. So again, these columns do similar things to the View By pop up menu. In other words, you can change that and you'll see it changing there. But some of the options aren't there so you have to go to this pop up menu for Creation Order, and I find that handy sometimes if we want to see, what was that field that was just created, Ôcause I have a bad short term memory. And then you want to go back to your Custom Order Ôcause you really like to see them in the order that you put them together in. So there's a lot of capability here as far as arranging the fields the way you want to see them. Now, there's also a handy little Print button right here. Now, I like to use this a lot in order to print out all of my fields, and you can actually print out just one field if you want by selecting it, but if you want all fields, you want to select all, which can also be done with the Command key and an A, or the Control key on Windows and an A. So, select all those and if you hit Print, it'll come up with the Print Dialog. Now, I obviously can't show you what happens when you print, but I can save to a PDF document. So we'll say Save As PDF, we'll call it Contact Fields, and I'm going to show that, we're going to go under the desktop, save it, and then we'll hide FileMaker Pro. There's our Contact Fields PDF, and then we can zoom in a couple of times, and you'll see that what we have here is a listing of all your fields, so you can make a hard copy of these fields and store them away, you can take it and visit somebody and show them what you did Ôcause you don't maybe necessarily have your computer, you can hand it to a client and say, here's all the fields I've created, you can print out every single table. I mean, there's so many uses for printing this out, not just electronically, actually on paper, you can put it in the mail and send it to somebody. I mean, there's so many things you can do with it, you just don't want to miss that little Print button there. So we'll close that, go back to FileMaker, and that's just about all the stuff you can do in here as far as manipulating this area. Again, just to remind you, if you have more than one table, they'll all be listed here and when you choose that table, it will list those fields for that table. It also lists the total number of fields right here, so you can see how many actually have inside this particular table. So, there's not much more, there is one tiny little thing here. Let's say you have it sorted by field name, either by clicking there or going here, if you click again you'd think it might sort it in reverse order, but actually what you want to do is come over here and that reverses the order. So, in other words, alphabetical ascending versus decending.
