Save a Found Set / Organization pt. 2

So, this is really great, but what if you have FileMaker 8.5, or FileMaker 8, or FileMaker 7? How do you organize things? Well, I have a little example here called Organize V7, and if we go into ScriptMaker we will see that there is an organizational structure here. The difference is we're using these as folders, so we use a dash, dash, dash then all caps and then dash, dash, dash. Now you don't have to use dash, dash, dash, you could use plus signs or asterisks; something to make it stand out. And the capitalization here makes it stand out also because everything else isn't all lower case or proper case, so anything to make these sections stand out really helps out, and I usually surround them with these dashes so that when you come in here and you're doing a Perform Script, you can easily see where each section begins and ends. So you'll see a variety of different ways of naming your scripts here. Here's the convention I showed you before with the brackets, but you can use colons if you want; you can use underscores if you want; you can simply use spaces; you can use all lower case. If you're concerned about going to the Web and you don't want the spaces to be placed with the percent 20 inside of your URL well, then, make sure you use underscores instead, and use all lower case, and use lower ASCII to make sure everything ah works with your URL so that you don't have to go and look at the URL and go Umm, I wonder what that translation is there? Not that it won't work if you use a space or some other word character. It, it's possible, but it, it's really about reading your URL so you can really read it without having to translate in your mind what that percent 20 is a space and whatever. So, it's basically the same idea here. We're just, as FileMaker 9, we're just using these as folders here. So, if you don't have FileMaker 9, definitely come up with this organizational structure this way. And then, let's go back to our Invoices and let's look at Defined Database because we've also organized things there as well. Now, we don't have folders in here, even in FileMaker 9, but we do have the ability to add in these separators, and so you see we've added in these separators much like we did in ScriptMaker in the organize V7 file. And then we have Entry, and Auto Enter, and Calculation section. We have Global, and we have New, and the cool thing is we're viewing by a custom order, but we can always go back to a sorted order, and then come back to our custom order and it'll be back to the way it is. So you have a lot of variety of options here so that you don't have to stick with the Customer order if you don't want to. But I usually organize them this way because sometimes it's easier. You know it's a data entry field. Just go to this section. You know it's an Auto enter, or it's a primary form key; put them right here. In fact, we should probably have the primary key at the top here. So organize them to some degree and I usually like to have this New section down here. This helps me out because when I add a new field, well, I may not organize it right away and then I might, you know, wait, you know a couple days and then organize all my fields at once. It's up to you. Now, when you're creating these sections like this, these section breakers, and we'll call it Test, let's say, and you create it, you're going to get this error message. Since we're not going to be using this field in a script or a calculation or anywhere else, we don't really have to worry about this. Normally you would, but in this case we don't. So we'll just click OKay and then we'll make sure it is a global field. There's no sense in making it a regular field. And that's all you have to do to make these section breaks. And if we go to our different sections here, such as Customers, we'll see a similar organization here. I think there's one more organization, which is Summary here, but in our other sections like Accounts, there's no organization; in Globals, none; Lines, none; and Products, none. And the reason is, is because there's not enough fields here yet. Once you get a lot of fields in here, let's say once you get a scroll bar, that's when you really should start thinking about creating an organizational structure because if you have a really simple database you shouldn't do it at all. There's no reason to spend your time on it. So, basically when you get a scroll bar here, think about Hmm, maybe I should organize this, and it's really the same thing with ScriptMaker. Once you have more than you can see on one screen, well, then, really then at that point your, your solution's getting more complicated and you should make some kind of organizational structure.
