I am going to show you two ways of using value list. With value list need never appear in the user interface and are not used for data entry at all. The first use of the value list is sort data and when I come down here I have got this value list that I am using for payment terms. If I want to sort the data in this layout I can sort using invoice number which happens to be the last sort. I am going to sort on payment terms and I select this. I can sort in ascending or descending order. This is a text field so that will be alphabetically or reversed alphabetically or I can use custom order based on the payment terms value list. If I sort based on payment terms you will see that I go from Cod to Net 30 Days to No Credit. And, that is the sequence. Cod, Net 30 days and No Credit. If I change the value list and make it Net 30 Days, Cod I will click ok. Now, I will come back here and sort and I am using payment terms and the custom order based on the value list. You will see now if I go to first record, I start with Net30, which is the new sequence in the value list then I go to Cod, and then I go to No Credit. So, I can use the value list in a value list to control how I sort a field. That is how to implement a custom sort. In this case I used a value list that I was always using for data entry. But you can always use a value list that you create only for the purpose of sort. You will need it in order to specify the sort, but here it is, as long as you got a value list that you can get to or you can define here, you can sort based on whatever sequence you want. Now, there is one other thing that you can do with the value list, and I will come down here in define database and show you that for example, I may want the customer name to be validated and it must be member of a specific value list, such as customers. Now, the Customers value list in this case is driving the popup menu through which I am now letting people enter customer names. But, I can have another value list perhaps a master customer list, that is a value list in another file and I can say that I need this to be a member of that value list or any other value list that I create. It is an additional form of validation that you can use from a value list.
