Printing and Presenting Data in Preview Mode / Printing Labels

Printing labels from file maker is very easy thing to do and although we talk separately about creating layouts and details of designing layouts, I thought I would show you how quickly create a layout to print standard labels because it is so simple to do and you can do with out knowing the details about creating layouts. So lets go into layout mode and choose new layout report and what I am going to do is I am going to use the records from a customers table and I am going to call this sample labels. I can select any type of layout that I want and you will see among the layouts is one called labels and that's let's me create labels. I can also use vertical labels for Japanese if I want. Here labels and will able to select which standard labels format I want. Here is a very very large number of standard labels you can probably find them one that you using here. If you can find it you can find the custom measurements. Here if you buy pre perforated labels you will find all of the dimensions on the documentation that comes inside the box or sometimes it's printed on the back or the inside cover of the box and you can set up the label to measurement exactly as you want them. Most of the time you will be able to use a standard label. So I am going to use one here and in order to create contents for a label what you do is you add fields and text to this area down here. I am going to create a label that says two I am just typing in the box and then I am going add the customer name and using character turn the address and I am going to add that field return I can double click if I want instead of using the add field button. After the city I want a comma and a space the stage I double click and then I am going to have two spaces here that's the standard and add the zip code. So I have combined fields from the database with text such as two colon space the comma the space two space there and now I can view at in preview mode , *****hold here on my labels and you can see infact there is one customer down here that has incomplete address, what you going to find is that as you preview labels you are very quickly see if you have labels that are not going to work properly. If you have incomplete addresses for example. You can sort the data before you go into printing the labels and I am going to sort the database on zip code. If you are using any kind of postage that requires the mail to be sorted, sorted on zip code before you print the labels rather than sorting labels or envelopes once you already printed that's much easier have file maker to do the sorting and if you have to do it . So that all that is to creating labels you going to layout mode choose new layout report name it ,Select labels select which label you want add whatever text you want, click next and finish up and preview mode and there you have your labels.
