Entering Data in Browse Mode / Using the Records Menu and Auto-Entering Data

In the contact management database I had pointed out that you can create new records with this new button and you can delete records with delete button. Now that's two of the contact management database because the database designer put those buttons on the layout not every layout has button like that, but when ever you are in browse mode you do have a records menu and the records menu will contain the commands that lets you create new records and delete records. I am going to talk about some of the commands in the records menu now. Some commands will be grayed out because they do not apply in the context in which you happened to be that's the case here. For example I have not selected any field and I cannot use the replace field context command. However if I click in a text field I now can use the replace field context command. So in other words what you will see is some commands are grayed out because of the context some commands may also be grayed out because of the security that you running in. You can set up security in a database so the different people have a access to different commands. So for any of this reasons you may not be able to use some of the commands that are in the records menu. But if the context applies and if you have access to those commands you will always be able to create new records delete records. You can delete single record or all of the records in the database and one of the nice things about Filemaker if you going to delete a record you are always warned so you don't accidentally delete a records. I am going to cancel that delete command and now I am going to create a new record and I am going to create a new record in a version of the contact management database that I have modified. I modified because I want to show you auto entering of data and validation. So I create a new record and this is not a blank record which is what has happened before when I have created new records. Now this time I have a new record that says at the top enter first name this is the first name field and instead of giving me a blank first name it's given me a prompt of what I should there . Sometime some designer will simply do this and omit a field name if once the data has been entered the context of the fielder surface planetary that can save space on crowded dialogue or more common reason for entering data is if you have data that is very likely to be the same on every record than here, for example I have entered new York as the state and that maybe true if this is a company in new York state most whose contacts are in new York state. So will just entered new York I can change it but it's there it will save typing in many cases. Now I entered a number for the last name now this happens to be an automatically generated serial number that I asked Filemaker to insert into the last name field and more common use will be to insert serial number into a serial number field and indeed there is a serial number field in this database it's hidden at the moment and when we start modifying layouts you will see how I can make that field visible. If I create another record buy clicking a new notice that the serial number ends in 55. Now I have one that ends in 56. so I am automatically generating serial numbers. those are some only a few of the ways in which I can automatically enter data using Filemaker.
