Entering Data in Browse Mode / Inserting Other Data with the Insert Menu

You seen how to use the insert menu to insert pictures, quick time files, sounds and just any old type of files into a container field. But lets look at the some of the other commands of the insert menu those are only available for text fields. So let me click on a text field and let's go to work. This three the date, the time and the user name are self explanatory you can insert any of these as taken from the system settings into a text field. But let's look at this one from index this allows you to carefully control the data that's entered into the database. Here are all of the entries that I have in the first name field for all of the record in this database. If I want to reuse them I can simply click on one and it will paste it into the field, in this case it paste it after my name because that were the insertion point was. If however I have an empty field I can insert a name, paste it there I can also paste another name after the name that's there. So that's how I can insert something that's from the index that is built and maintained by file maker for it's own purposes in finding and relating records. Now you will notice that here I have someone with two names in the first name field this is someone who uses three names first middle and last name, we only have a first and last name fields so both first and middle are in the first name field. I have the options to show individual words and if I click this watch what happens here , as I click the check box you will see that I only have single words so the two words in that one field was split up. Let me just come back here and restore the data that what it was. That's the insert from the index command. Now if I go to another record such as this one I am going to click on field there. Now if I want to insert the data from the last visited record I can click in the field I want to use and I will insert the data from the last record I have visited. If I click in another field the relevant data will be inserted there. Now I am going to undo the paste and go back to the data there it was. Those are the two insert commands at the bottom of the insert menu. Inserting from the index lets you control the data so that you use the spelling and the punctuations of data you have already entered, inserting from the last visited record inserts the data. so that you don't have to keep typing things if you are typing data for example with the same zip code over and over and over and over again. You will see one we talk about layouts how you can set up your layouts and your database design options so that you automatically insert data from the previous record.
