The last validation option we're going to cover is the Validate Always versus Just During Data Entry. During Data Entry is pretty obvious, it's the default, it's what we've been doing so far. But always it's a little vague so we're going to just demonstrate it and see what it means. So let's go in and check this option out. We'll go into Manage Database and we'll come into a field, let's say the State Field. We'll go into Options and here's your Option always versus only during data entry. So if we check always that basically means On Import. I don't know why they don't just say that but that's basically what it means. So we're going to first try importing something with only data, During Data Entry on to see how it differs from Always. So let's Click OK. Click OK again. Now in your Work Files you'll have a file called Valid. tab, it's a Tab separated text file you can use to go along with these exercises here. So we're going to go to the File menu and choose Import Records and then we're going to choose File. Now if Valid .Tab is dimmed and you can't choose it that's because you have the wrong file type here. You could go for all available or, I always prefer to choose the right type, Tab separated text file. So we'll choose that, Click OK, Click Open, and now we want to set this all up but I usually come down here first, we actually want to add records so I'm going to switch that first so I don't forget. And then what we have to do is we have to match all these fields up. We can't choose matching names because we don't have fields over here this is a text file. So what we have to do is match these up manually. Move Name First up there. Check that. And we'll come in to Last Name. Move that up there. And then address is already there. Now sitting needs to move down. Here's a little trick if you hold down the Command key or the control key on Windows, you can use the up and down arrows. And move this that way if you want. Up and down arrows normally would move the highlight but with the key held down it will actually move the field. And we'll uncheck that one, that's in the right place, that's in the right place and that's in the right place. So what we're going to do is look at the next record. And you can see here's where the problem is. Now we're not going to have an issue because we're only validating during Data Entry right now but when we do to the next import you see the problem. So Add New Record, double check all this, it looks good. Click Import, we don't have to worry about this because these are sample records we're going to Delete them. You can see that we have no errors, no fields skipped, no records skipped. We'll click OK. You look at the data. You can see that the three letter stage is in there, we allowed it because we only have validation during data entry. So let's Delete those records. Now notice when we do that it's only Deleting the found set because when we imported it put our two records from that text file in a found set by themselves so it is very easy to Delete them all very quickly. So now we're go into manage database. We're going to go down to that State Field. Go into Options. And we're going to go switch to Always. Let's see the difference here. We'll do our import again. We'll locate our file. All should be the same with Tab separated right here. Click Open, it's all matched up still, same options. We'll skip this again. And this time we get total records skipped due to errors are one. And if you look up here we only have one record in our found set. It completely skipped that record. So that's very interesting, so let's Delete that. And now we're going to try our import again but before we do that we're going to change something. We're going to go in to Manage Database, we're going to go back down to State. Go into options, and instead of Validate by Calculation we're going to switch back to our maximum number of characters. And there's going to actually be a difference. Switch that back on there, Click OK, Click OK, do our import again. Locate the file. It's all the same options, Click Import. Don't worry about that and now we have Total Fields skipped. You can see we got both the records imported this time, but it actually skipped one of the fields and that would be that WVA, it just didn't import it. So why are these two imports different? Why do the two different validations give you different results? Well if you remember when you had a validation problem here, and this is a, we're typing in three characters, this is the maximum value option where you check it. Notice it says Revert Field here. Notice when we did our calculated validation it said Revert Record. There is a difference. It has two different ways validations work. If it says Revert Field here that means it's going to skip the field on import. If it says Revert Record it's going to skip the whole record if there's a problem with one field. So let's take this all out. I really do still like, let's put Revert Record just to get it out of there. I really do still prefer to have the validated calculation because it works better. I just wanted to point out how it differs when you do this import so we'll go back to File, Manage Database, and we'll go down to our State Field, Options, check that, notice that formula's still there. Uncheck that and we're going to go back to Only Data Entry. And we can't forget to get rid of those two extra records so we'll Delete them. and so you really need to examine every feature as much as you can. There's always something new to learn about FileMaker and you may really mess yourself up or you database just because you don't know how something works. Don't assume because you know how import works, how validation works or how they work together. It's really important to get your microscope out and examine FileMaker as much as you can. The more you work with it the more you'll learn so just don't stop learning that's the key, keep remembering, you know watch these videos, read books, go on the Internet, fiddle around. All these things will help you increase your knowledge of FileMaker and allow you to do things much better than before.
