Now that we understand a bit about the Connection Types, let's talk about actually making that connection, when it is not apparent on the screen. Again both Blank Report, or the Report Wizard goes to the same place. In this instance, I'm going to use the Access Excel Connection. I simply go to Make a New Connection, and the first thing it asks, is the database Access? Is it DBase? or is it Excel? The next thing it wants to know, is what's the database name itself? Here I simply go into the program, and I find my connection. In this particular case, I'm going to go back to Northwind. When I select Northwind, and I say Open, you'll notice that the connection is ready to go. If you need this to be a secured login, simply select it. Here it'll allow you to put your password information in. When I'm finished, I now have my new connection. Now do keep in mind, I was able to put the same connection, to the exact same database, I'm able to do that, because of course, I can have security on different levels. If I'd like it to be Excel, it would be the same component, Make a New Connection, this time select Excel. When I select Excel, I go to the background, choose my file, and say Open. Remember again, it must be an XLS extension unless you are using the most current version of Crystal Reports. I am using Crystal 2011, I am going to Finish, and when I do, once again, I'm working with my data from Excel. Now when you're working with Excel, I do want you to be aware of some of the system files in the background. For many of us, when we open Excel it comes up with sheet one, sheet two, and sheet three. These could be blank sheets in your actual file itself. You'll notice that there's Dollar signs after these, it's referring to some of the system information, that's stored in the background. You may want to delete out those blank sheets, just to make it easier on yourself. However, it'll work just fine with those in there. Now in each of the areas we go into, it's going to work the same way. The minute I go in and choose the file, it's going to take me in the background to the connection. It just opens up the entire folder, so you'll need to be aware of actual file, you want to connect to. Be aware that it's our ability to find the correct Data Source, that will help in the speed and stability of the connection in the background. But setting it up, and creating the connection is very quick and very easy.
