Intro to Numbers / Saving a Workbook
Subtitles of the Movie
Alright, as we wrap thing up in this introductory module, I want to show you how to simply save one of your Numbers workbooks, one of your Numbers documents. And there's really not to much as far as tips and tricks here, but there is one cool little tip that normally I would put into the end sections or the end chapters of a tutorial like this, but I'll put it in here because I just want to show you right off the bat how easy it is for Numbers to work with spreadsheets that you probably will have seen that have been created in Excel because, again, that's going to be the nature of working with Numbers is that you will have to deal with Excel, interoperability-wise and also you're going to be, you might have a big pile of spreadsheets that you're working with that you already created using a different application, like Excel. So I want to show you what you can do here. To save, all you do is simply, is use file and either save or save as. If it's saved the first time, you get the same dialog box as you do when you click on save as. So I'm going to throw this up on the desktop here and I've already saved one called Hawaii Itinerary Numbers. So I'll cancel out of this. The advanced options are to copy the audio and movies into document and template images into the document. Typically don't need to do that because anyone with Numbers installed will also have the template images already also installed, but if you've added audio and movies, then those things might not exist on the computer where you're sending this Numbers document to. So, give it a name, give it a location and you're good to go. I'll just cancel out of this and I will hide this spreadsheet. There's what we've saved previously, so we can come back and look at it and here's where this application starts to get really, really functional. I'm going to make this go away now and so there's the Hawaii Itinerary that I just created. Here is the Excel version of this same kind of workbook. So we have a travel itinerary and if I double click on it here, it's going to open up in Excel and it's going to look something like this. You're going to have the formatting palettes and again, visually it's certainly nothing to write home about and that's kind of the point of this whole thing. Because what you can do if you have an existing Excel spreadsheet is that you can simply drag and drop it onto the Numbers icon, either in your doc or in the applications folder of your finder. So I'm just going to click and drag this onto the Numbers icon in the doc, just like that and when I let go, it will make a conversion and you might not, everything might not translate exactly, but you'll get a dialog box that will tell you just that. You can review the warnings anytime by choosing view, show document warnings. We're not going to do that now. I'll do that later on. But what I simply wanted to show you is that if you've created a travel itinerary using Excel, you can still deal with it in Numbers and really start to add some visual flair over and above what Microsoft's Excel is really capable of or is capable of easily as it is in Numbers. So there's the same thing. Now it has its sheet in the sheet pane. You can add other styles immediately; blue headers, gray headers, this is, has a color fill in it so the styles don't necessarily apply as you can see. And those are some of the things that you might be warned about. But again, the conversion process, very simple. Take an Excel spreadsheet, drop it onto the Numbers icon and you're good to go.
