In this video tutorial I'm going to show you how to add, update and maintain generated files and book documents when you're using Adobe Framemaker 9. The file that I currently have open is a Book Document called North America. Book. It contains three files, Canada, USA and Mexico, I'm going to add a Table of Contents before Canada and then index after Mexico and show you how to set these up. To start I click on Canada and then choose Add, Table of Contents. Because I'm in a Book Document I'm automatically brought to the set-up Table of Contents Dialog. In here I can specify an extension if needed for the suffix and I can also decide where to add the file because I've selected Canada I can add before or after. I also need to specify what kind of information to include. Navigating down I can see heading 1, 2 and 3 so I double-click each of those to include them and right near the very end I have a title. I'm going to allow the system to create Hypertext Links automatically and then click Add. Automatically Framemaker goes to the Add Book Dialog, I'm going to work with all the default settings, including Generate North America TOC and I click update. Because templates are in place Framemaker can create a Table of Contents with a predefined format. When I double-click to open the file we can see that in the document it already has Canada with a page number. It has statistical information, etymology, history and all of the subordinate content for the Heading ones, twos and threes that I've told the system to include. Because the Markers Dialog is open I don't necessarily see as much so I'm going to close that Tab Group and change the Zoom Setting. Now you can see the entire table of contents. It's not completely configured yet, I'm going to press Enter at the beginning of it, add an empty paragraph and then format it by pressing Function 9 and using the keyboard shortcut to apply a style called Title Contents. This format automatically puts in the words Table of Contents and its available because the template was developed with a Book Document in mind. Notice by the way that Canada starts on page 4, this is because my Table of Contents is three pages long, we're going to Save and close that file. Now I'm going to click on Mexico and add an Index after this location. So again I choose Add, I select Standard Index, Index markers are already selected, the suffix is IX and I click Add, allowing it to create hypertext links. Again I use the defaults and click Update. The index is added and when I double-click it I can see that it's also template driven and like with my Table of Contents I insert an empty paragraph, I press Function 9 and I start to type title and press my down arrow until I see Title for Index where I press Enter, that's in the word index, numerics is pushed into the column and that's followed by A, B, C which is off screen, D, notice it skips E, because there's no Index Entries anywhere inside my documents that start with E and it jumps straight to F. Again I save and I close my file. I'm going to open up the Table of Contents so that you can see some of the changes that are made to the book and how they impact my generated files. Canada gets right mouse clicked and I choose Numbering, I'm going to change this so that the first page number is forced to be number 1, regardless of how many pages are in my Table of Contents. I click set and the document is modified. I haven't yet updated the book, that's why at the bottom here it reads pages 4-30 and inside my Table of Contents Canada still has page number 4. Going back to my book I can click update on the Toolbar and generate both my Table of Contents and my Index by clicking Update. And you'll see on the right-hand side of the screen Canada, statistical information and all of the information in the Table of Contents is updated to reflect the new page numbers automatically. Finally if I need to change the way my generated files are managed by the book I can right mouse click on a file and choose to set up in this case the Table of Contents and modify which paragraphs are being included. Here I'm double-clicking heading 3 to move it to the don't include and click set. Once more when I click update you'll see the Table of Contents on the right-hand side of the screen, automatically update and the heading 3 information, if any exists is removed. Lastly I'm going to go in and change the Table of Contents one more time to narrow it down to only heading ones entitles, again I set and I update. The Table of Contents now shows simply Canada, United States of America and Mexico, the pages continue from one to 28 to 57 or the main topics and all of the subordinate information has been removed with the exception of heading ones. As long as you use your book document and your templates consistently and properly and their set up and configured to support one another, your book can configure how your numbering for pages and for chapters is applied to all of your files, generated materials like your table of contents and your index are automatically maintained by the Book Document, every time you update it. This is one of the features that makes Framemaker truly a unique tool when it comes to working with publishing large documents.
