In this video tutorial I'm going to show you how to generate an Index in Adobe FrameMaker 9 by properly using existing Templates. Whenever you're building a generated file from a source that has no Template associated with it, format's based on the setup of the source document. To simplify the creation process, a Template that already exists may be preconfigured before the generated file is created. Consider what happens in this sample document if I go in and I chose to View, Pods and display all of the Marker information. I can see that on multiple pages I have Index Entries - they're already configured as Index based on the Marker Type - and the Marker text is all set. I come along and chose Special and I build myself a standard Index using all the defaults, so I create a standalone file, I'm going to use the Index Markers and create Hyperlinks and because there's no formatting and no Template yet created, the default appearance isn't exactly what I would expect. It has the text Chapter in the top left corner, the main Headings for the letters A, D, E and O aren't necessarily formatted to look any differently than the rest of the text and by and large, it's not a very useful index. If I go in and I choose View and I turn off my Text Symbols, you can see that this may be very difficult for somebody to read, especially if it was to span dozens and dozens of pages. However, the file that it created is called NaturalResourcesIX.fm. I'm going to close this file without saving it. I also have a document that's a Template, and you can see that earlier I had the Index Template open, so it's in my History. I open it up and it has a generic piece of sample content in the Header, which is set up as a GroupTitleIX and it has the word Index already appearing in the top right of the page, as well as a couple of background graphics and two columns. I'm going to choose File, Save As. Now, I know that the document that I was working with originally was called Natural Resources, so I'm going to click on it and just manually add IX just before the extension, because this is the exact same name that was generated a few minutes ago automatically from the Natural Resources file. Now I've taken the Template and saved it with the exact name that my Source Document's going to be looking for. I'm just going to close off my Natural Resources Index page and return to the Source File. In the Source File I'm going to once more choose Special and Standard Index except this time when I choose Yes, the suffix IX is going to find that a document already exists. It's going to include the default Index, it's going to create Hypertext Links - all of the same settings as the last time. The only difference is that on disk I now have the document, so when I Set it uses the Template, I get the word Index appearing in the top corner, I get my headings A, D, E, O and so on, formatted with a unique appearance and I get all of the Index Entries correctly configured. So any time that you generate an Index and you already have a Template you can use, open the Template, choose File, Save As, name it correctly, put it into the right location and when you generate your Index it will be formatted correctly.
