In this video tutorial we explore the use of Footnotes in Adobe FrameMaker 9. A Footnote is inserted into a paragraph which may be in your normal text flow or inside a table. The process of inserting a Footnote is the same in both instances. Footnotes can also be modified or, if not required, deleted from a document. Footnotes are useful for several reasons including as a way to identify the source of a quote, to explain where supporting information may be found, or just to provide additional material or discussion that is relevant but could disrupt the flow of the text if it were directly included. The format of a Footnote is dependent on the Template used. For example, a Footnote inserted inside a table may be formatted to auto-number as a, b, c and so on. However, a Footnote in the body of the document may be formatted to appear as 1, 2, 3 and so on. As you insert, move and delete Footnotes FrameMaker adjusts their numbering automatically and updates the number within files or between files. This means that you can have a book with many Footnotes and the application manages all the numbering based on Template and Book settings, so feel free to edit text knowing that FrameMaker moves and numbers the Footnotes from page to page as needed automatically. If content in a file changes and text reflows between pages the Footnote location also changes. By default, Footnotes in tables appear at the bottom of a table. In the normal document flow, Footnotes appear at the bottom of the page. In both cases the appearance of the Footnote is based on Template-level configurations, so all you need to do is insert, modify, or delete Footnotes. When you insert a Footnote, FrameMaker assigns it a number and formats the text and placement of the Footnote automatically. As this is based on the Template your specific configuration may be different than what's seen here, however, the process of inserting a Footnote is always the same. Let's explore how to insert a Footnote. To begin select the location in your document where it makes sense to insert a Footnote. In this example I'm going to add a Footnote in the table. First I'm going to click next to Book Price. Now I've selected the location for the new Footnote. Once that's done I insert the new Footnote by choosing Special, Footnote. Since the Footnote is added to the first row it's automatically numbered, in this example as Footnote a. The other two Footnotes automatically renumber to become b and c. Note that the Footnote number is inserted and the insertion point appears at the bottom of the table, then I type in the Footnote text to note the book pricing does not include the cost of shipping and handling. I'm going to add another Footnote to the document. There's mention that more information on books can be found online, however, I have no reference to the website. I'm going to add that now. Again, all I do is I click at the end of the text a Footnote and then choose Special, Footnote, and then I'm typing in the URL. Notice the Footnotes all renumbered correctly automatically. If the content of a Footnote needs to be modified, you simply edit the text. For example, the Footnote related to the support needs to be updated to include a note about phone support. As with any text edit I'm going to select the location, type a modification and then move on. In some cases a Footnote needs to be moved from one location to another. For example, the Footnote related to sample files - I'm going to move this to the end of the paragraph. To do so I've selected the Footnote and then I'm going to Cut and Copy it to the new location. Footnotes can also be moved in the main flow of the document in the same fashion. I'm going to select the Footnote related to partners. Notice that this is Footnote number 2. I'm going to Cut it. As soon as I cut the Footnote is removed from the document and the numbering is automatically updated. Now I'm going to click at the end of the text about Video-based Training and then I'm going to Paste the Footnote back into the document. Again, the numbering updates correctly. Finally, we need to explore how to delete a Footnote from a document. To do so first select the Footnote and then just press Delete. In this example, I'm going to remove the Footnote about specific version support for FrameMaker from inside the table. So I select the Footnote number and I press Delete. The numbering in the table automatically updates reflecting the new Footnote notations. You now should be familiar with the basic ideas of Inserting, Modifying and Deleting Footnotes when working with Adobe FrameMaker 9.
