In this video tutorial I'm going to walk you through generating PDF documents from Adobe FrameMaker 9. Take a look at the sample document that's here right now. It has an automatic text chapter number, it has the word Canada and it has some background text that comes in from the Master Page for Overview. There are three paragraphs of Body content and then three cross-references, each of which is a Hyperlink. If I hold down Ctrl-Alt and I click on Geography, cross-reference jumps to the next page. I can see the word Geography, there's a marker at the beginning of it, the paragraph symbol at the end of it. Just above Geography I can see North America Its Nations and Its People and a horizontal rule. This page also has a graphic on it. Figure 1-1 Map of Canada, a couple of bullets toward the bottom of the page and if I continue to scroll down you'll see that between pages I have headers and footers with page numbers and alternating on this chapter I have Chapter 1, Canada or I have the main heading that I happen to be reading about, two tables, both of table formatting for things such as the table title, headings, cell bodies. Continuing down, Government has two sub-bullets for Provinces and Territories and the word Provinces and the word Territories is bold. Again, in the side text I can also see Copyright 2009 Publishing Smarter. The header changes on the third page to read the book name: North America Its Nations and Its People and it doesn't display the chapter number. To convert this to a PDF document I start off by choosing File and Save As PDF. I could choose Save As. In the drop-down select PDF, or I could Save as PDF Send for Review so that it attaches itself to an e-mail message, but I'm simply going to save it as a PDF so I choose Save As PDF, the default folder is the same folder as the original file and I already have a document here created earlier called Canada PDF and I'm going to save over it. I'm prompted to replace it, I click OK. PDF Setup dialog displays and has numerous settings that I can configure. This includes the Settings, the Bookmarks, the Tags and the Links. The Settings are general PDF job options, such as the Quality of the Output, the Page to Open on, whether or not you want to automatically see the PDF when it's created. You could also generate a PDF for Review Only, Setup Registration Marks, Page Size and Page Range settings. Generally speaking, the defaults are picked up from your Template and you likely don't need to change them. Looking at Bookmarks we can see that it's going to include the document title and all Heading 1 and Heading 2 information is set up with a subordinate level. I can add or remove additional headings into the Include Paragraphs or I can move them away from there into the Don't Include by just double-clicking them. If I bring content in here and I have something such as a Heading 2 that I want to promote or demote I can increase or decrease the level of the Bookmark. In this case Document Title Heading 1 and Heading 2 are already preconfigured, again, because of the Template. I generally recommend not changing Tags and if your PDF files end up becoming very large try turning off the Generate Tag PDF if it's on. The same goes for Links. You can create Name Destinations for All Paragraphs so that if in the future you link into a document that was created previously, FrameMaker can actually Hyperlink correctly from one PDF to another. If you're not anticipating having to create additional links from other files into this topic you can turn off Create Name Destination for All Paragraphs. Once everything's configured click Set. Acrobat Distiller is launched automatically and the PDF file is created from a temporary Postscript file. Once it's created you can double-click the PDF file to open it up and view it inside Acrobat. Here's the page as seen in Acrobat. You can see the Bookmarks running down the side include Canada, which was my title; Geography, People and Government, which were my first level of headings; Ethnic and Religious Groups and Executive Branch, which was my second level of headings; the Hyperlinks such as Geography, Still Work and all of the layout including the headers and footers, the sidebar text, automatic figure numbering, automatic table numbering, the bullets, the bold words Provinces and Territories, everything is maintained exactly as it appeared inside the original Adobe FrameMaker document.
