Adobe FrameMaker 9 Overview / User Preferences

In this video tutorial we're going to explore how to set User Preferences inside Adobe FrameMaker 9. In order to get started choose File, Preferences and then General. There are a lot of preferences in here that you can use to customize the way the Application displays and functions. Bear in mind these Preferences are specific to the computer system on which they're set and aren't part of the document's properties, therefore your settings are unique to your computer and don't impact documents that are sent to you by others. In the same way the Application doesn't overwrite your preferences when opening another person's files; your settings don't impact files handed off to other people. Taking a look at some of the settings in here we'll start off with the idea of the Automatic Backup on Save. When saving your file the Automatic Backup creates a duplicate copy of the previous version of a file. This allows you to have a duplicate file for content recovery or to act as a source for document comparison. The Automatic Backup file is assigned a default name based on your file name. The extension .backup.fm is added to the file, so therefore, if you're working with a document named overview.fm, the Automatic Backup would be overview.backup.fm. Each time a file is updated and saved the backup is replaced with the previously saved version. Don't confuse this Automatic Backup on Save with a backup of a file system. For example, if you're in a corporate environment where a server is backed up every single day, that's not a replacement for the Automatic Backup on Save that FrameMaker has. The Automatic Backup on Save just creates a duplicate of your previous saved version; it does not create a backup stored copy in a separate location in case anything happens to your original file. Moving on to the Automatic Save - if active, Automatic Save allows you to automatically save a file at regular intervals. This Automatic file can then be opened in the event of a system error allowing you to restore a document up to the last time it was Autosaved. When the document's saved manually the Autosave file is deleted automatically. The Autosave file is assigned a default name based on your file name. The extension .auto.fm is added to the file, therefore, if you're working with a document named overview.fm, the Autosave file will be overview.auto.fm. Let's move on to Show File Translation Errors. If active, this setting displays a list of errors encountered by the Application when opening files. Common errors may include things like missing Fonts, but other messages can display. For more information on the errors and the resolutions to them, review the FrameMaker documentation as they could be pretty varied. Greek Screen Text Smaller Than 7 Point; the value is configurable. Selecting this option displays text quickly by changing the onscreen appearance of smaller content. All content that is smaller than a set threshold displays as a bar of gray text rather than individual characters and words. This bar acts as a placeholder for the content and doesn't represent every single character. There are also a couple settings that I'd recommend not changing. One of them is definitely the Monitor Size. Unless you're explicitly told to do so, don't change the Monitor Size from the default. If you're creating PDF and you have embedded PDF either as Adobe Flash Files into the PDF or 3D objects that are going to go into the PDF you can turn these two check boxes on. While this ensures that Flash Files and 3D objects do get converted into your PDF and are embedded and it adds great functionality, you also have to bear in mind that this could result in larger file sizes. If we take a look at Showing warnings while clearing history you'll see that there are two suboptions. Always, which is currently selected, actually becomes really annoying after a while. Every action you do that resets your Undo Stack will be prompted be on screen: This will reset your Undo History and you'll have to click OK over and over. If you tell it once for every History Clearing command it's a nice way to learn. After a while, however, you may decide that you don't want to see these messages at all and you simply turn them off. Finally, under the User Preferences, we get to the Checkout HTTP Files and Upload HTTP Files on Open and on Save. These two settings are applied if you're working with WebDAV. The first one ensures that your files are locked so that other people don't inadvertently overwrite your content and the second one ensures that every time you choose File Save in FrameMaker it also uploads the file back to the server. So again, the User Preferences can be configured to your settings. It's a one-shot deal and after you've made the changes you simply click Set in order to apply them, or Cancel if you want to back out of them.
